Position Summary :

The Physician Support Assistant is responsible for ensuring physicians in post-acute care facilities (skilled nursing facilities, assisted living facilities, independent living facilities) have a patient-first focus on clinical care by serving as support to providers and acting as the first point of contact for home health agencies, facilities, families and others involved in patient care and inquiries.  This role is operationally critical and requires a highly responsive individual with professional phone etiquette, keen attention to detail and strong organizational skills. Proficiency with Microsoft Office Suite, Teams, Outlook email, and PDF Sign documents is a plus.  Responsibilities will include working with incoming calls, home health orders arriving to our EMR fax inbox for processing, reviewing and distributing main office faxes, monitoring / responding to email and handling paperwork or creating correspondence related to patient care.  A strong work ethic and dedication are required with this role serving as the bridge between providers, facilities and the practice as a whole.

Core Responsibilities

Daily Operations

  • Working closely with EMR (electronic medical record) fax inbox for incoming home health orders, linking and assigning to the correct patient and providers, checking for completed / signed orders and filing for future use in care plan oversight packets.
  • Emailing pending notifications to providers for any orders outstanding at 2+ days.
  • Compiling monthly care plan oversight (CPO) packets for review and signature.
  • Monitoring email and responding in a timely manner to leadership, facilities, patients and home health agencies.
  • Answering incoming calls in a professional manner related to patient care from facilities, home health agencies, families, pharmacies, funeral homes etc. helping to answer questions, providing company information, or alerting providers to patient needs. Obtaining pertinent information for any return calls needed and relaying messages in a timely fashion.
  • Preparing and sending out patient-related paperwork received from facilities for provider review and signature, creating patient or family correspondence when requested and informing responsible party of any fee related to paperwork or letters, followed by processing payments via electronic payment link.
  • Providing assistance for the main office fax on a rotation schedule with fellow colleagues, reviewing and distributing faxes to the intended recipient(s), or redirecting any home health orders appropriately to our office EMR (electronic medical records system) fax inbox or provider if needed.
  • Maintaining open communication with leadership and colleagues and alerting to any potential challenges or issues seen.

Facility & Patient Coordination

  • Serve as the primary point of contact  for facility nursing staff, administration, and ancillary services.
  • Responding to emails and provider or facility requests in a timely and professional manner.
  • Coordinate electronic payment with patient / responsible party regarding fee-based paperwork.
  • Notifying provider(s) directly in a timely via Teams or email for any pending facility patient paperwork that has been sent for provider review and signature to allow timely completion, followed by returning completed paperwork to the facility.
  • Notify provider of any active patient call-back requests and alert to any issues or challenges mentioned by caller.
  • Notify providers of any home health notifications for active status patients related to changes in condition or additional home healthcare needs.
  • Key Skills & Requirements

  • Experience in healthcare administration or medical office operations; post-acute background is a plus.
  • Proficient with EMR use, Microsoft Office Suite including Outlook email, Word, Adobe PDF and PDF Sign functions with a focus on HIPAA compliance.
  • Highly organized, detail-oriented, and able to manage multiple moving pieces daily.
  • Strong and professional communication skills; able to work with providers, facility staff, patients, families, organizational leadership and colleagues effectively and respectfully.
  • Self-starter with ability to anticipate provider needs and proactively solve problems in an efficient manner.
