Responsibilities

Responsible for performing professional administrative functions, providing analytical support, and execution of initiatives and programs for the Vice President of Student Academic Success (SAS). In all responsibilities, demonstrates a high level of professionalism and confidentiality in a fast-paced, high-volume environment while remaining flexible, proactive, resourceful, and efficient. Exercises independent judgment and discretion in determining matters meriting the VP’s attention and in managing critical and confidential issues.

Manages executive communications, creating and preparing correspondence on behalf of the SAS VP. Serves as the communication link to college stakeholders. Develops and delivers presentations for board meetings, presentations to university leadership, and SAS staff. Ensures messaging is clear, consistent, and aligned with strategic priorities. Creates meeting agendas, disseminating relevant materials, attends committee meetings, and compiles meeting minutes. Executes SAS initiatives by coordinating cross- functional workflows, tracking and providing task action items and follow up tasks, provides status updates and sees initiatives through to completion. Collaborates with the VP to balance long-term priorities and goals with short-term details, while maintaining flexibility as new priorities emerge.

Assists and advises in the development, evaluation, and implementation of goals, policies, and objectives for the SAS division. Coordinates, supports, and assists with the established core initiatives and integration of the strategic mission and goals of the Division of Student Academic Success. Manages report compilation for bi-weekly and monthly leadership unit reports. Gathers data and performs research to prepare analytical reports with minimum oversight. Coordinates, manages, and completes special projects, prioritizing and managing multiple administrative projects, monitoring day-to-day operations of the SAS office to provide recommendations for ways to improve the effectiveness and efficiency of the office. Supports programs and initiatives of the Provost Office for the division of academic affairs. Produces, compiles, analyzes, and reports academic and administrative data for SAS programs.

Serves as a liaison between the VP of SAS and university constituents including staff, faculty, students, and university central offices as well as the public. Filters incoming and outgoing correspondence, including providing responses and / or redirecting inquires when warranted; and provides records management and data retrieval for highly confidential information. Proactively manages the Vice President's dynamic schedule and priorities facilitating the efficient utilization of the VPs time through complex calendar and travel management, including processing travel arrangements. Attends committee meetings on behalf of the VP as needed, representing the Vice President and the Student Academic Success division.

Conducts administrative HR and related transactions for the SAS Office. Assist in the SAS Executive Team search process, including data compilation, interview scheduling, and coordination of travel and accommodations. Serves as HR rep for the Student Academic Success office, handling HR transactions, recruitment, ePAFs, pPAFs, terminations, time and leave approval monitoring, verifying payroll and other related tasks. Assists with market and data analysis, including salary comparisons as needed for the VP executive team. Acts as a liaison for SAS and the University Central Human Resource office.

Qualifications

Bachelor's degree and five years of related experience; or a high school diploma / equivalent and nine years of experience. (Note : a combination of post high school education and experience equal to nine years.)

  • Exhibits high level of independent judgment and discretion.
  • Experience with prioritizing, organizing, and performing multiple work assignments simultaneously.
  • Ability to establish and maintain effective working relationships with students, faculty & staff, and interdepartmental personnel.
  • Attention to detail and the highest standard of integrity are imperative.
  • Excellent computer, creative problem-solving, and written and communication skills are essential.
  • Must have the unique ability to deal with people calmly, confidently, and with complete objectivity.
  • Computer skills to include experience with Microsoft Word, Excel, Outlook, and PowerPoint or comparable software.
  • Experience in developing and implementing policies, procedures, goals, and objectives.
  • Experience with editing and proofreading a variety of documents.
