The Grant Coordinator supports citywide grant management by assisting departments throughout the post-award grant lifecycle, from implementation and compliance to reporting, closeout, and audit. This position ensures compliance with City policies, funding agency requirements, and procurement regulations; maintains centralized grant tracking systems; and helps departments effectively manage awarded funds.
The Grant Coordinator works under the general supervision of the Grant Supervisor and serves as a key resource for post-award administration and internal monitoring. This position does not supervise staff but may provide guidance to department employees engaged in grant-funded activities.
Role & Responsibilities
- Assist departments with post-award grant management, ensuring compliance with City policies, grant terms, and funding agency requirements.
- Review grant agreements, contracts, and related documents to identify administrative, fiscal, and reporting obligations.
- Assist departments in interpreting grant terms, conditions, and reporting requirements to ensure compliance.
- Maintain and update centralized grant tracking systems, monitoring key deadlines, milestones, and deliverables throughout the grant lifecycle.
- Monitor grant-funded procurement activities to ensure compliance with City purchasing policies and applicable federal, state, or grantor requirements.
- Conduct periodic internal monitoring activities to verify compliance, spending accuracy, and documentation completeness.
- Assist in reviewing reimbursement requests for accuracy, eligibility, and alignment with approved budgets and cost principles.
- Coordinate the submission of required progress, performance, and financial reports to funding agencies.
- Communicate with funding agencies as needed for clarification or reporting purposes under the direction of the Grant Supervisor.
- Develop and maintain strong relationships with internal staff and relevant external parties to facilitate effective collaboration.
- Maintain accurate records of grants, contracts, and related documentation to ensure audit-readiness.
- Support the Finance Department and other departments in tracking expenditures, match funds, and budget modifications.
- Assist with grant closeout activities and preparation for audits or monitoring visits.
- Provide general guidance and support to staff on grant compliance, procurement standards, and documentation expectations.
- Assist the Grant Supervisor in maintaining templates, checklists, and tracking tools, and in generating routine updates on grant status and compliance metrics.
Qualifications
Education and Experience
Three years of increasingly responsible experience in related field, with a minimum of two years' experience in grantsHigh school diploma or equivalent; Bachelor's degree in program related field preferredAny equivalent combination of education, experience and training that provides the required knowledge, skills, and abilities.Public sector experience preferredOther
