Core ResponsibilitiesFinancial Management & Budgeting Lead monthly financial close, prepare financial statements, and analyze variances Oversee bookkeeping entries (in QuickBooks or relevant platform) Reconcile bank accounts, credit cards, and investment accounts Generate monthly financial reports for the Executive Director and Board of Directors Ensure accuracy and compliance in all financial reporting Lead the development of the annual operating budget and capital budget Develop financial models and forecasts to support strategic decisions Monitor organizational performance against budget and recommend course corrections Ensure compliance with federal, state, and local financial and nonprofit regulations Oversee preparation of 990 filings in collaboration with CPA firm Support audit or financial review preparation as the organization growsGrants / Restricted Funds & Expansion Planning Track all grant spending, including restricted and capital campaign funds Prepare financial reports for grantors and assist in budget creation for grant applications Monitor compliance with funder requirements and deadlines Assist in financial planning, cost projections, and reporting for capital campaign andshelter construction Support strategic planning and facilities financing discussions with the boardFinancial Systems Development Design and implement financial procedures, controls, and internal systems tailored toHSMCs growth and nonprofit status Develop clear documentation for financial workflows including budgeting, approvals,reimbursements, and reconciliations Identify opportunities to streamline and strengthen existing processes to ensurelong-term sustainability and transparencyHuman Resources & Organizational Support Collaborate with the Executive Director to develop and maintain HR policies andprocedures in line with state and federal labor lawsSupport staff hiring and onboarding processes by assisting with job descriptions, payscale development, and benefit package planning Maintain payroll records and work with payroll provider (e.g. Gusto) to ensure timely and accurate processing of pay and reimbursements Assist in creating and maintaining employee files, PTO tracking systems, and benefitsdocumentation Ensure compliance with nonprofit employment standards, wage laws, and recordkeeping requirements Help evaluate compensation structures and make recommendations for equitable payand role clarity Participate in strategic discussions about organizational growth, staffing structure, andsuccession planningQualifications Bachelors degree in accounting, finance, or related field; CPA preferred but notrequired 5+ years of nonprofit finance experience, including budgeting, compliance, and granttracking Experience preparing for nonprofit audits or financial reviews Strong knowledge of GAAP and nonprofit accounting principles Proficiency with QuickBooks, Excel / Google Sheets, and donor databases (Bloomerangexperience a plus) Excellent organizational, communication, and analytical skills Collaborative, adaptable, and aligned with HSMCs missionWork Environment & ScheduleThis position is primarily remote, but the employee is expected to attend two in-person meetings per month in Belfair. Occasional additional visits may be required to pick up invoices, financial documents, or other materials from the office as needed. Flexible scheduling is available, but some availability during weekday business hours is required for team communication and coordination.
