Executive Assistant to Chief Executive Officer
My client is a real estate development and construction management firm that excels in the acquisition, development, and repositioning of distressed buildings into workforce rental apartments.
This well-established company is seeking a full-time Executive Assistant to support the CEO and CIO, and will manage the small office in downtown Bethesda.
This individual will be highly organized and professional, with stellar management skills and excellent verbal and written communication. This role will assist the CEO with his calendar (business and personal), travel, correspondence, plan special events, and run the office.
POSITION SUMMARY
Responsible for providing effective, confidential administrative support for the CEO, Chief Investment Officer & Secretary.
DUTIES & RESPONSIBILITIES
Maintain the Executive's calendar, contact list, coordinate all travel arrangements, and complete expense reports as required.
Prepare correspondence, reports, and materials for publications, presentations and meeting materials.
Set up and coordinate meetings and conferences, as well as set up accommodation and entertainment arrangements for company visitors.
Create, transcribe, and distribute meeting agendas and minutes as requested.
Maintain hard copy and electronic filing system.
Answer the phones. Takes messages or fields / answers all routine and non-routine questions.
Type and distribute general correspondence, memos, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes. Responsible for the accuracy and clarity of the final copy.
Scan, copy, print and fax information and documents as needed or requested. Prepare and send documents / correspondence as requested.
Open, sort, and distribute mail. Draft written responses or replies via phone or e-mail when necessary. Respond to regularly occurring requests for information.
Maintain Office Supplies.
Coordinate Printed Materials / Marketing collateral.
Hand-deliver documents as requested.
Special assignments as requested.
Provide back-up support to other employees as needed and as directed.
JOB REQUIREMENTS (SKILLS / ABILITIES)
Punctual, dependable and reliable.
Possession of strong organizational skills.
Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
Ability to deal effectively and tactfully with a wide variety of individuals in person, via telephone, email and in writing.
Ability to work in a positive and cooperative manner with fellow team members.
Must possess strong attention to detail in composing, and proofing materials, establishing priorities, and meeting deadlines.
Capability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Ability to work independently on assigned tasks as well as to accept directions on given assignments.
Knowledge of MS Office (Word, Excel, PowerPoint, Outlook).
EXPERIENCE
7+ years of executive level support with a STEADY job history.
Real Estate or Construction industry experience.
7+ years of direct support of a President or C-level.
EDUCATION / LICENSES / CERTIFICATIONS
Notary (Strongly Preferred).
The position is entirely onsite and has great benefits. Salary range is $60,000-90,000 (based on experience).
