Position Overview

Unified Door and Hardware Group is currently seeking an enthusiastic Estimating Administrator to support our team.

Education & Qualifications

  • Associate's or Bachelor's degree in Construction Management, Business Administration, or a related field (preferred)
  • Equivalent work experience in estimating, project coordination, or administrative support may be considered

Key Responsibilities

  • Bid Coordination : Organize and distribute bid invitations, track deadlines, and ensure timely submission of proposals.
  • Document Management : Maintain and update estimating databases, project files, and vendor pricing records.
  • Proposal Support : Assist estimators in preparing bid packages, including scope sheets, takeoffs, and pricing summaries.
  • Reporting : Generate reports on bid status, win / loss ratios, and historical pricing for management review.
  • Communication : Liaise with subcontractors, suppliers, and clients to gather quotes, clarify scope, and confirm bid participation.
  • Process Improvement : Identify opportunities to streamline estimating workflows and enhance data accuracy.
  • Compliance : Ensure all bid documents meet company standards and client requirements, including insurance, bonding, and licensing.
  • Skills & Competencies

  • Organizational Skills : Ability to manage multiple bids, deadlines, and documents with precision
  • Attention to Detail : High level of accuracy in data entry, document formatting, and recordkeeping
  • Communication : Strong written and verbal communication skills for liaising with internal teams and external partners
  • Time Management : Capable of prioritizing tasks and working under tight deadlines
  • Technical Proficiency :
  • Familiarity with estimating software (e.g., Procore, Bluebeam, PlanSwift, or similar)
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Experience with document management systems or CRM tool
  • Experience

  • 2-4 years of experience in construction estimating, project administration, or bid coordination
  • Prior experience working with subcontractors, suppliers, and clients in a fast-paced environment
  • Knowledge & Attributes

  • Understanding of construction terminology, bid processes, and proposal formatting
  • Knowledge of compliance requirements (insurance, bonding, licensing)
  • Ability to interpret scope sheets, drawings, and specifications
  • Proactive mindset with a focus on continuous improvement and workflow optimization
