We are looking for a dedicated Mailroom Assistant to join our team on a contract basis in San Francisco, California. In this role, you will play a vital part in managing incoming and outgoing mail processes, ensuring smooth operations in a fast-paced environment. You will work independently to handle tasks such as sorting, scanning, printing, and labeling documents while maintaining attention to detail and efficiency.
Responsibilities :
- Receive and organize incoming mail to ensure all correspondence is accounted for and properly processed.
- Open and categorize documents based on their type and priority for further handling.
- Digitize physical documents by scanning them into the designated system with precision.
- Print required documents in the correct format, ensuring accuracy and quality.
- Prepare and securely send outgoing mail to customers in a timely manner.
- Support daily mailroom operations by opening, sorting, and processing mail efficiently.
- Maintain accurate records of mail handling and document processing.
- Operate mailroom equipment such as scanners and printers to streamline workflows.
- Collaborate with team members to prioritize urgent tasks and meet deadlines.
- Ensure compliance with organizational procedures for document handling and mail distribution.
- Previous experience in mailroom operations or a similar role.
- Proficiency in operating mailroom equipment such as scanners and printers.
- Exceptional attention to detail and organizational skills.
- Ability to thrive in a fast-paced setting while managing multiple tasks.
- Strong verbal and written communication skills.
- Willingness to work evenings, weekends, and public holidays as needed.
- Independence and reliability in delivering high-quality work.
- Familiarity with Mac (iOS) and Google Workspace is a plus.
