Status : Full-Time, Non-Exempt | Union : IATSE Local 154 | Hourly Rate : $26.23

The Oregon Shakespeare Festival (OSF) is seeking a highly organized and detail-oriented General Management Coordinator to support the daily operations of our General & Company Management department. This position is perfect for someone who thrives in a fast-paced environment, enjoys coordinating schedules and logistics, and is eager to contribute to the smooth running of a world-class theatre company.

The Role You’ll Play

As General Management Coordinator, you’ll serve as a key administrative and logistical resource for OSF. From managing the Festival’s calendars and rehearsal spaces, to supporting department communications and meetings, to stepping in for on-call emergency coverage, you’ll help ensure that day-to-day operations run seamlessly. You’ll also support rentals, housing requests, and transportation needs while modeling OSF’s values of inclusion, diversity, equity, and accessibility.

What You’ll Do

Calendar Management : Create and maintain OSF’s master calendar, coordinate rehearsal and meeting spaces, and distribute weekly schedules.

Administrative Support : Schedule meetings, prepare documents and presentations, and occasionally record meeting minutes.

On-Call Coverage : Participate in the department’s 24 / 7 on-call rotation, supporting housing, maintenance, transportation, and urgent needs.

Transportation : Provide safe, reliable driving services for staff, artists, and guests using OSF fleet vehicles.

Facilities & Rentals : Assist with vending machine operations, support external space rentals, and coordinate occasional company housing bookings.

Collaboration : Partner with Safety & Security, Facilities, and other departments on cross-team needs.

Training & Support : Provide occasional guidance to seasonal assistants and support IDEA and anti-bias initiatives across the organization.

You’ll Thrive Here If You…

Hold a Bachelor’s degree or equivalent experience .

Have experience as a coordinator, executive assistant, office manager, or stage manager .

Possess excellent organizational skills and strong attention to detail.

Communicate clearly and professionally, with a proven ability to maintain confidentiality.

Are proficient in Microsoft Office Suite and collaboration tools (Outlook, Teams, OneDrive, etc.).

Hold a valid driver’s license and clear MVR , and are comfortable driving in all weather and visibility conditions.

Bring flexibility, problem-solving skills, and the ability to manage shifting priorities.

Preferred Qualifications

Experience in theatre or live entertainment.

Familiarity with cloud-based collaboration tools (e.g., Box.com).

Strong motivational and organizational abilities.

Physical & Schedule Requirements

Ability to climb stairs frequently, and occasionally stoop, crouch, or lift up to 50 lbs.

Schedule includes evenings, weekends, and after-hours requests as part of on-call duties.

The Oregon Shakespeare Festival (OSF) was founded in 1935 in Ashland, OR, and has grown from a three-day festival of two plays to a nationally renowned theatre arts organization that presents a rotating repertory season of up to 10 plays and musicals, including illuminating interpretations of Shakespeare, other enduring classics, and new works. OSF productions have been presented on Broadway, internationally, and at regional, community, and high school theatres across the country. OSF received the 1983 Special Tony Award for Outstanding Regional Theatre and is one of the largest nonprofit theatres in the nation with three stages, including an outdoor Allen Elizabethan Theatre.
