Position Summary : We are seeking a highly skilled and proactive Executive Assistant to provide top-level administrative support to the Chief Financial Officer (CFO), General Counsel, and a Senior Vice President. This role requires a dynamic professional with at least 10 years of experience, exceptional organizational skills, and the ability to work collaboratively with a diverse range of personalities in a fast-paced environment. This role will work closely with the Executive Assistant to the CEO (CEO EA), requiring a spirit of partnership and willingness to learn from their expertise. This includes sharing responsibilities and backing each other up when out of the office to maintain continuity and efficiency. The Executive Assistant must be adaptable, receptive to feedback, and proactive in building a strong administrative team to ensure support for both the C-Suite and leadership team. Job Responsibilities :
Administrative & Executive Support
Provide comprehensive administrative support to the CFO, General Counsel, and Senior Vice President, ensuring seamless operations and workflow.Serve as a key representative of both your Executives and the Leadership team, professionally engaging with colleagues at all levels on their behalf.Excellent and pleasant communication skills, sound judgment, and the ability to foster positive relationships with internal and external stakeholders.Expertly manage complex calendars, scheduling internal and external meetings while anticipating conflicts and proactively resolving schedule changes, all while navigating shifting priorities with efficiency.Handle confidential and sensitive information with discretion and professionalism.Prepare and distribute reports, creating polished presentations, and key documents as needed. A keen eye for detail and design will be extremely helpful.Process and track expense reports, reimbursements, and vendor invoices for the executives.Assist with internal and external communications, including drafting correspondence, managing high volume email inbox, and coordinating with key stakeholders.Ensure all meeting prep (handouts, catering, meeting room set up) is accurate and timely.Maintain and update contact lists.Coordinate various personal tasks to help streamline the executives' day-to-day activities.Meeting & Event Coordination
Collaborate closely with the CEO EA and other administrative staffAssist in planning and executing company-wide and high-level corporate events, including Sense of Belonging initiatives in collaboration with CEO EA and other administrative staff.Plan and orchestrate logistics for Executive and Leadership team meetings and conferences ensuring all materials and arrangements are prepared in advance.Support Board meetings, financial strategy sessions, and risk management presentations as required.Support various Financial Services team building activitiesManage meeting minutes, action items, and follow-ups to ensure timely execution of key initiatives (401k, Benefit Strategy, and other strategic meetings)Operational & Project Support
Assist with financial reports, contracts, and legal documentation in coordination with the appropriate executive.Support the Risk Management team with compliance tracking, claims reporting, and insurance documentation.Maintain, create processes, and update confidential files, legal records, and risk management data.Research and compile data for executive reports and decision-making processes.Track and manage contract workflow to ensure timely contract execution.Prepare and finalize highly time sensitive contract packages.Support the corporate strategic planning process through tracking annual business plans, helping coordinate strategic planning meetings, insurance renewals, etc.Travel & Office Management
Arrange and coordinate travel itineraries for executives, ensuring smooth and efficient trips in collaboration with CEO EA.Serve as the point of contact for respective executive visitors, vendors, and internal stakeholders.Oversee office logistics, ensuring executives have the resources they need to operate effectively.Qualifications & Skills
Based on experience of specifically supporting C-Suite or Senior level Executives, ideally in the construction, legal, financial, or risk management industries.Notary certification in the state of Colorado is a plus but not required.Exceptional organizational and time-management skills, with the ability to manage multiple high-priority tasks simultaneously.Strong communication skills and ability to work collaboratively with a variety of strong personalities.Must be adaptable, resourceful, and approachable, with the ability to balance multiple priorities while maintaining confidentiality and professionalismAn ability to anticipate needs, solve problems independently, and take initiative in a fast-paced environment.A friendly, approachable, and professional demeanor with exceptional attention to detail.Strong understanding of confidentiality protocols and risk management.Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)Familiarity with contract management software is a plusKnowledge of AIA contract software is ideal but not required.Salary : The salary range for this position is $80,000 - $115,000 per year.
