Description : POSITION SUMMARY

The Clinical Intake Specialist serves as the first point of contact for potential clients, helping them access behavioral health services while ensuring a welcoming and professional experience. This role provides essential administrative support to the Behavioral Health department through efficient documentation, coordination of referrals, and clear communication across programs and departments.

The Clinical Intake Specialist works closely with supervisors, therapists, clinical teams, and support staff in a fast-paced environment, requiring strong organizational skills, confidentiality, cultural sensitivity, and a commitment to trauma-informed care.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Serve as the first point of contact for new clients and referrals, providing a welcoming and professional intake experience
  • Gather, verify, and document intake information to ensure accurate eligibility screening and smooth connection to services
  • Provide administrative and clerical support to ensure smooth daily operations within a high-paced office environment
  • Ensure accurate collection of data from all referrals used to determine eligibility and appropriateness of services
  • Maintain positive and professional relationships with community members and referral sources through professional communication channels including phone, email, and fax
  • Maintain organization of digital and paper files while ensuring client confidentiality and accessibility to members of the care team
  • Monitor building entrances to ensure only authorized individuals enter the building while coordinating with staff to report and resolve any safety concerns
  • Regularly verify various forms of health insurance for new and existing clients
  • Coordinate client care with providers in a variety of programs, including initial scheduling and follow-up communication
  • Create a welcoming and professional environment in the office and maintain a professional presentation of the agency
  • Utilize critical thinking skills to help resolve scheduling conflicts and other issues
  • Coordinate with other members of the team to support daily tasks, training sessions, meetings, etc.
  • Maintain a working knowledge of all emergency policies, procedures, and regulations to be able to respond to alarms, incidents, and emergency situations
  • Perform other duties as reasonably assigned

Requirements :

QUALIFICATION REQUIREMENTS

  • Experience utilizing Office 365 tools (Teams, Excel, Outlook, Word) for daily tasks and collaboration.
  • Strong organization, time management, and attention to detail skills
  • Knowledge of record and bookkeeping procedures
  • Strong written and verbal communication skills, with the ability to interact effectively and respectfully with individuals from diverse backgrounds
  • Ability to work independently and as part of a team in a fast-paced environment
  • High level of discretion with the ability to handle confidential and sensitive information
  • Strong critical thinking and communication skills
  • Must meet DCFS / CANTS Clearance Requirements
  • Must be at least 21 years of age
  • Must possess and maintain a valid driver’s license and maintain proof of automobile insurance
  • EDUCATION AND / OR EXPERIENCE

  • Required : High school diploma or GED
  • Preferred : Bilingual; at least two years of prior administrative or clerical experience in a professional office setting, preferably in healthcare, behavioral health, or social services
  • CARE & TCI

    Hoyleton has adopted the CARE (Children and Residential Experience) , developed by Cornell University , to guide our culture and practice. CARE is grounded in six core principles : Developmentally Focused, Family Involved, Relationship Based, Ecologically Oriented, Competence Centered, and Trauma Informed.

    Completion of CARE and TCI training is an internal requirement for all staff and must be completed upon hire. Ongoing application of these principles is expected and essential to successful job performance.

    TCI (Therapeutic Crisis Intervention) . Employees must :

  • Pass the written test annually
  • Pass the physical test every six months (if applicable to the role)
  • Consistent participation and application of both CARE and TCI principles drive company culture and are essential to job performance.

    Working Conditions

    This position operates in a professional office environment and may require travel to off-site meeting locations based on role responsibilities.

    The role involves periods of walking, standing, or sitting, and may occasionally require climbing stairs, bending, kneeling, or lifting materials up to 20 pounds, depending on job duties.

    Minimal exposure to environmental factors such as noise, dust, or varying indoor / outdoor temperatures may occur depending on program needs and client-related activities.
