Job Duties :
Receptionist / Hospitality duties :
- Greeting guests and offering coffee / water
- Answer multi-line telephone system
- Conference room preparation for meetings (and clean up)
- Ordering food / beverages for meetings
- Provide general hospitality services (e.g., make coffee)
- Distribute parking validations, and keep track of our inventory in parking binder
- Break room clean up
- Retrieve, open, stamp, scan and distribute mail; drop outgoing mail once or twice per day
- Arrange for outgoing overnight packages and drop per vendor's schedule
- Stock paper in each photocopier at the beginning of the day
- Keep inventory of toners and replace them when necessary
- Provide backup to legal assistants in retrieving and forwarding faxes
- Maintain calendar of conference room meetings and depositions
- Provide support to office manager for routine administrative tasks
- Provide secretarial assistance (during absences and overload periods)
- Order and stock supplies for kitchen, break room and offices.
Qualifications / Requirements :
Ability to type 40 wpmInterpersonal skills to communicate verbally, in writing and by telephone in a professional manner with clients, attorneys, vendors and staffAbility to operate office equipment such as computer, transcription equipment, fax machine and advance functions on photocopiersProficiency in Word and Outlook, and familiarity with document management systemsAbility to take on requests / tasks from multiple people while maintaining your everyday duties; be extremely organizedPhysical Demand :
