Summary
The Donor Services Assistant provides essential operational support for SFJAZZs Development department and Membership programs. Reporting to the Development Operations Manager, the Donor Services Assistant is responsible for gift processing and acknowledgments, donor account management, overseeing customer service communications, providing Tessitura CRM database support, working membership events, and facilitating the general operations of the Development Department. The person in this role also works with the Finance Department to ensure accurate gift and data entry.
Responsibilities
Gift Entry & Acknowledgements
- Responsible for supporting gift and membership processing, including entering donations into Tessitura and updating membership records.
- Serve as primary contact with Development staff to ensure donor intent and proper coding of gifts.
- Support the Finance team to help reconcile gifts and provide backup documentation for gift designations.
- Monitor all incoming contributions and coordinate with the Development team to organize, track, and check the status of gift-processing tasks using Asana.
- Generate acknowledgment letters for major donors, coordinating acknowledgment letter deliveries per established protocol.
- Maintain up-to-date understanding of gift policies, operational procedures, and acknowledgment templates.
Donor Services
Manage donor service support through member emails and phone calls during assigned hours, including following up with member inquiries, processing customer service requests, and elevating complex member issues.Keep track of repetitive donor service complaints / issues and actively report to internal stakeholders for potential improvements and resolutions.Monitor the DevOps and Membership email inbox to fulfill members and donorAct as an SFJAZZ membership representative at various annual donor events, while also assisting with Membership area setup and breakdown.CRM Database Support
Ensure data integrity by updating donor information upon gift entry, including mailing and email addresses, household information, crediting names, and other categories.Help maintain database accuracy and integrity by reconciling donor / constituent data and making necessary adjustments to records promptly.Qualifications
Direct experience in a membership program, preferably for a non-profit organization, OR gift processing experience for a non-profit organization.Superior organizational skills, keen attention to detail, and the ability to work on a variety of projects simultaneously.Ability to prioritize varied and time-sensitive projects and ability to work both independently and in a team environment.Knowledge of Microsoft 365, Asana, MS Word andHands-on experience with a non-profit CRM database is required; Experience inTessitura Networks CRM is strongly desired.

This position follows a hybrid work schedule, combining some remote work with regular on- site presence at the SFJAZZ Center (a minimum of 3 days per week in the office). In- person attendance at organizational gatherings and membership / donor events is required, along with frequent evening and weekend commitments.
The role also involves supporting live performances and events, which may require standing for extended periods and assisting with activities in a fast-paced, public-facing environment
