Duties and Essential Functions

  • Provide administrative support to the student services program.
  • Prepare correspondence, memos and statistical materials; answer phones.
  • Compile data from a variety of sources for statistical reports and student data reports.
  • Review applications or other program documents to determine acceptance.
  • Process eligibility and services for categorical programs in compliance with Title 5 regulations.
  • Award and disburse support services (e.g. book vouchers, meal tickets, grants).
  • Assist faculty with specific program information and training development.
  • Assist students with navigating college processes; refer students to auxiliary resources.
  • Prepare presentations and written materials on available services and programs.
  • Develop and deliver workshops, activities, and special programs to promote access to student support services.
  • Coordinate logistics, scheduling, and participant communications.
  • Coordinate with other departments and external vendors for support equipment and materials.
  • Maintain records and files related to student contacts and program services.
  • Participate in special events and activities as needed.
  • Establish linkages to special populations or community groups served; promote program outreach.
  • Perform related duties as assigned.
  • Qualifications

  • High school diploma / GED plus additional coursework related to the area of assignment.
  • Two (2) years of experience performing responsible administrative duties in a related program.
  • Proficiency in Microsoft Office Suite and modern software applications.
  • Excellent written and verbal communication skills.
  • Demonstrated sensitivity to the diverse academic, socio-economic, race, ethnicity, gender identity, sexual orientation, age, disability, and religious background of all students and staff.
  • Ability to work independently and exercise good judgment.
  • Keyboarding with accuracy.
  • Establish and maintain effective working relationships with those contacted in the course of performing required duties.
  • Desirable Qualifications

  • Experience supporting undocumented students and providing referrals on residency, AB 540, the California Dream Act Application, legal aid resources, scholarships, and more.
  • Experience in outreach activities with local high schools, community agencies, and on campus students.
