POSITION OVERVIEW – Administrative Assistant – Legal Operations
The Legal Operations Administrator will oversee and implement some of the day-to-day
functions to help scale the legal team. You have a real opportunity to make a meaningful impact
and contribution within Legal and across the company (including but not limited to ad hoc
support of various introductory contracts and contract templates, developing self-serve legal
content / training for various internal teams, developing outside counsel efficiencies, identifying
process improvements / automation, and deal tracking and overall matter management).
RESPONSIBILITIES :
- Calendar invites for team meetings - check schedules, create invite, email and update
when necessary
Manage Team Calendar – email team for updates, maintain and email weeklyTrack Engagement LettersTrack Legal invoice spending by law firm and projectNotarize documents for the teamResponsible for all request emails to match the work requests to the invoices fromCogency.
Track all the Cogency annual report charges, registered agent fees and franchise taxpayments.
All travel needs for legal teamEvent coordination for offsites or legal meetingsResponsible for Outside counsel Consultants InvoicesWork directly with new law firms and consultants to obtain a W9 to get them set up inSAP.
Work with the team to complete the banking form, and coordinate with our accountspayable team to get that detail set up in our payments system.
Responsible for KPI team goals, ensure that 70% or more of outside counselengagements above $30,000 are the result of a competitive tender
Track spending on outside counsel fees not including litigationResponsible for all the engagement lettersTrack the outside counsel invoice payments, report monthly on two KPI goals for theteam.
Responsible for new hire training monthly schedule coordinationResponsible litigation tracker spreadsheet which need to be update bi-weekly with thedetail provided in each meeting and maintain this in our Teams litigation folder.
Responsible for procurement drape processREQUIRED QUALIFICATIONS / SKILLS :
Self-motivated with strong problem solving and analytical skills. Ability to communicateacross the organization
Proven ability to coordinate and communicate with internal and external teamsGood understanding of how various functions integrate with others in accomplishing theobjectives of the area
Ability to work across all levels of the organization and with external clientsAbility to demonstrate innovation and creative approaches to business needsProven ability to work remotely and independentlyStrong organizational and time-management skills.Ability to effectively manage multiple projects and tasksEDUCATION / EXPERIENCE
Bachelor Degree or, in lieu of a degree, a high school diploma and 5+ years ofoperations experience
