Client is seeking a detail-oriented and proactive Construction Office Manager to oversee day-to-day administrative, financial, and compliance operations. This role is key to ensuring smooth coordination between the field and office, supporting project management, and maintaining accuracy across contracts, billing, and reporting. The ideal candidate is highly organized, customer-service oriented, and experienced in managing administrative functions in a construction environment.
In this role you will manage and maintain all contracts, subcontractor documents, and Certificates of Insurance as well as coordinate with insurance brokers to ensure compliance with coverage and documentation requirements.
The Construction Office manager will be tracking licensing, certifications, and compliance deadlines for the company and subcontractors, preparing and processing Work-in-Progress (WIP) billing, change orders, and Accounts Receivable (AR) tracking as well as support financial reporting and reconciliation using QuickBooks Online.
In this role you will process payroll through ADP, including certified payroll and prevailing wage reporting, assist with project cost tracking and expense reporting as well as maintain organized digital and physical filing systems.
The Construction Office Manager role will serve as the primary point of contact for clients, vendors, and subcontractors, support management with scheduling, documentation, and administrative projects and implement and improve office processes for efficiency and accuracy.
The Construction Office Manager will assist with bid preparation, tracking, and data organization, and coordinate with project managers to gather documents and ensure timely bid submissions.
Qualifications
3+ years of experience in office management, construction administration, or project accounting.
Proficiency in QuickBooks Online, ADP, and Microsoft Office Suite (especially Excel).
Knowledge of prevailing wage, WIP, and construction billing practices preferred.
Strong organizational and multitasking skills with a high level of attention to detail.
Excellent communication and interpersonal skills.
Ability to maintain confidentiality and handle sensitive information with professionalism.
