Job description

Processing Administrator

We are seeking a dedicated Processing Administrator to join our team. This role involves handling receptionist duties, office assistance, accounts payable responsibilities, and document control tasks. The ideal candidate will be detail-oriented and possess excellent organizational and communication skills.

Responsibilities :

  • Greet and direct visitors in a courteous and professional manner.
  • Answer and route incoming calls, take messages, and respond to general inquiries.
  • Arrange occasional in-office lunches.
  • Maintain general office organization, including maintaining supply stock and coordinating miscellaneous services.
  • Support internal teams with administrative tasks such as data entry, filing, scheduling couriers, and other miscellaneous correspondence.
  • Process vendor invoices accurately and in a timely manner.
  • Reconcile vendor statements and resolve discrepancies.
  • Assist with month-end closing and reporting related to accounts payable.
  • Assist with expense reporting for executives.
  • Keep all vendor information current, including insurance certificates.
  • Support the Project Coordinator / Assistant Project Manager with all Close Out / Warranty Documents.
  • Organize, maintain, and archive physical and digital documents in accordance with company policies.
  • Ensure version control and proper labeling of all controlled documents.
  • Support audits and compliance reviews by retrieving and preparing required documentation.
  • Maintain confidentiality and security of sensitive information.

Essential Skills :

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication skills.
  • Professional phone etiquette and customer service orientation.
  • Additional Skills & Qualifications :

  • High school diploma or equivalent required; associate degree or coursework in business administration or accounting preferred.
  • 02 years of experience in an office environment, administrative support, or customer service role.
  • Exposure to basic accounting or accounts payable processes is a plus.
  • Familiarity with office equipment (phones, printers, scanners).
  • Ability to learn accounting software and document management systems.
  • Work Environment :

    This position is based in the office from Monday to Friday, 8am to 5pm. Enjoy working in a family-oriented environment with access to a gym at the office.

    Job Type & Location :

    This is a Contract to Hire position based out of Houston, TX.

    Pay and Benefits :

    The pay range for this position is $24.00 - $25.00 / hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
