Administrative Assistant
We are looking for an Administrative Assistant to support purchasing activities at a facility located in Carson, California. This contract position involves collaborating with internal teams and vendors, ensuring purchasing requests and invoices are processed efficiently and accurately. The role is ideal for candidates with administrative or purchasing experience, and training will be provided for the Oracle E-Business Suite system.
Responsibilities :
- Create and manage purchase requisitions using the Oracle E-Business Suite system, with training provided for new users.
- Collect detailed information, including item descriptions, specifications, and pricing, from internal requestors.
- Monitor and process invoices to ensure deadlines are consistently met.
- Communicate effectively with internal departments and vendors to address inquiries or resolve discrepancies.
- Maintain organized and precise records throughout the purchasing process.
- Support the purchasing team and Senior Office Assistant with administrative tasks.
- Assist in coordinating with maintenance staff and other departments to fulfill purchasing needs.
- Ensure accuracy and timeliness in all aspects of purchasing and administrative operations.
Requirements :
Excellent interpersonal skills to work collaboratively with various departments and vendors.Proficiency in Microsoft Word, Excel, and Outlook, with the ability to quickly learn new systems.Basic math skills to verify pricing, quantities, and invoice accuracy.Strong attention to detail to ensure accuracy in documentation and deadlines.Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.General experience in administrative or purchasing support roles.Effective communication skills, both written and verbal.Willingness to undergo training for specialized systems, such as Oracle E-Business Suite.
