Position Summary :
Reporting to the Executive Director, the Executive Administrative Assistant will provide administrative support to the Director, FORCE staff.
The Executive Administrative Assistant will own planning and implementation of logistical details for periodic and recurring meetings, travel, trainings, community meetings, etc.
This position will work 50% as an executive administrative assistant with the Executive Director, 20% facilitating the financial and contracting needs of the organization, and 30% supporting staff and the Force Detroit office with logistical and administrative needs.
The successful candidate must have a deep dedication to social and racial justice, will be highly detail-oriented, organized, will understand how to engage people from diverse backgrounds, and will enjoy lending structural and administrative strengths to justice leaders to build local movements.
In addition, the ideal candidate has a knack for making sure an organization runs smoothly through proactive efforts and rigorous follow-through on commitments.
This position is required to come into the office.
Responsibilities :
- Writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf.
- Maintaining comprehensive and accurate records.
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
- Answering phone calls in a polite and professional manner.
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate staff member.
- Opening up meetings and managing the flow of the agenda.
- Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
- Supporting Director and Force Detroit Staff with meeting administrative and logistical needs.
- Innovate and implement organizational systems and processes to increase our effectiveness with limited resources.
- Performing minor accounting duties, including managing income, cash flow, invoicing, and expenses for reimbursement.
- Database management.
- Maintaining an organizational calendar.
- Some travel out of state is required for training and events, attendance at occasional weekend and evening meetings.
- Valid driver’s license & car insurance.
- Familiarity with Google Suite, Asana, Zoom, Nexonia, or Quickbooks is a plus.
- Other duties as required.
Qualifications :
Bachelor’s degree and 3-5 years professional experience in an office setting preferred. Degrees or certificates in communications or business preferred.
Equivalent experience will be considered.
- Ability to learn quickly and follow social cues to successfully work with a diverse set of leaders within a multi-faith, multi-racial organization and movement.
- Precise, accurate written and verbal communications skills
- Excellent organizational skills including the ability to juggle multiple priorities with self-managed follow-through and detail orientation
- Commitment to equity, social and economic justice, and bottom-up social change
- Openness / understanding about one’s own experiences (social, political, economic, and racial).
- Computer proficiency in Google Suite, Word, Excel, and PowerPoint; experience with SalesForce, Zoom, Salsa labs or another database program is ideal
- Previous administrative experience within a social justice organization, highly desirable
- Social media experience preferred
- Ability to work with diverse faith institutions and racial / ethnic communities
- A deep respect for, curiosity about, and relative comfort with faith leaders and faith institutions
- Discipline and ability to work effectively in a highly unstructured environment
