JOB DESCRIPTION

We are seeking a detail-oriented Office Administrator to join our team. The Office Administrator will support our daily operations and ensure a smooth-running office environment. This role requires strong billing and data entry experience, excellent client-facing skills, and proficiency in Microsoft Office Suite—especially Excel. The ideal candidate will also handle standard administrative duties such as answering phones and ordering office supplies.

Responsibilities :

  • Billing & Invoicing : Process client invoices, track payments, and assist with account reconciliation.
  • Client Interaction : Serve as a primary point of contact for clients, providing professional and courteous support.
  • Data Entry : Accurately input and maintain client and operational data across systems.
  • Client List Management : Regularly update and maintain client records to ensure accuracy and completeness.
  • Administrative Support : Assist with scheduling, document preparation, and general office tasks.
  • Phone Management : Answer and direct incoming calls in a professional manner.
  • Office Supplies : Monitor inventory and order office equipment and supplies as needed.
  • Reporting : Generate reports using Excel and other tools to support business operations.
  • Office Coordination : Ensure smooth day-to-day operations of the office environment.

REQUIRED SKILLS AND EXPERIENCE

  • Proven experience in billing, data entry, and administrative support.
  • Strong customer service and communication skills.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Comfortable in a client-facing role.
  • Ability to manage multiple tasks and prioritize effectively.
  • Experience answering phones and managing office supply inventory.
  • NICE TO HAVE SKILLS AND EXPERIENCE

  • Familiarity with CRM or billing software.
  • Experience in a fast-paced office environment.
  • Ability to work independently and as part of a team.
