JOB DESCRIPTION
We are seeking a detail-oriented Office Administrator to join our team. The Office Administrator will support our daily operations and ensure a smooth-running office environment. This role requires strong billing and data entry experience, excellent client-facing skills, and proficiency in Microsoft Office Suite—especially Excel. The ideal candidate will also handle standard administrative duties such as answering phones and ordering office supplies.
Responsibilities :
- Billing & Invoicing : Process client invoices, track payments, and assist with account reconciliation.
- Client Interaction : Serve as a primary point of contact for clients, providing professional and courteous support.
- Data Entry : Accurately input and maintain client and operational data across systems.
- Client List Management : Regularly update and maintain client records to ensure accuracy and completeness.
- Administrative Support : Assist with scheduling, document preparation, and general office tasks.
- Phone Management : Answer and direct incoming calls in a professional manner.
- Office Supplies : Monitor inventory and order office equipment and supplies as needed.
- Reporting : Generate reports using Excel and other tools to support business operations.
- Office Coordination : Ensure smooth day-to-day operations of the office environment.
REQUIRED SKILLS AND EXPERIENCE
Proven experience in billing, data entry, and administrative support.Strong customer service and communication skills.Proficiency in Microsoft Office Suite, especially Excel.Comfortable in a client-facing role.Ability to manage multiple tasks and prioritize effectively.Experience answering phones and managing office supply inventory.NICE TO HAVE SKILLS AND EXPERIENCE
Familiarity with CRM or billing software.Experience in a fast-paced office environment.Ability to work independently and as part of a team.
