Job description

Scheduling & Monitoring Specialist

We are seeking a detail-oriented Scheduling & Monitoring Specialist to join our team. The ideal candidate will be responsible for efficiently assigning shifts to employees, monitoring attendance, finding coverage for callouts, and verifying shift completion.

Key responsibilities :

1. Scheduling :

1.1. Assign shifts to employees based on availability, qualifications, and business needs.

1.2. Ensure optimal staffing levels to meet operational requirements.

1.3. Communicate schedules to employees & clients in a timely manner.

1.4. Conduct overtime analysis and look how to reduce it while providing an efficient schedule

2. Monitoring :

2.1. Track employee attendance and punctuality.

2.2. Verify that all employees arrive on time for their shifts.

2.3. Address and find coverage for any callouts or last-minute absences.

2.4. Maintain accurate records of attendance and shift changes.

2.5. Monitor local and world news impacting our operations and communicate to relevant groups.

2.6. Monitor our Security Operations Center to assist our employees and clients.

3. Verifications :

3.1. Ensure that all scheduled shifts are completed as planned.

3.2. Modify schedules as necessary, following company protocols.

3.3. Conduct post-shift verifications to confirm attendance and work completion.

3.4. Prepare and maintain reports on scheduling and attendance.

Qualifications & Skills :

A. Proven experience in scheduling, workforce management, or a similar role.

B. Strong organizational and time-management skills.

C. Excellent communication and interpersonal abilities.

D. Ability to handle multiple tasks and adapt to changing priorities.

E. Problem-solving skills and the ability to think quickly in urgent situations.

F. Having the ability to be proactive instead of reactive.

Location : Manhattan, NY

Terms : 5 days a week (might include weekends) - Full time - In person

Salary : $40,000 to $45,000 - depending on experience
