Position Title : Intake Specialist

Employment Status : Full-Time

Classification : Non-Exempt

Salary Range : $40,000 - $55,000 per year

Supervisor : Clinical Director

Summary of Major Responsibilities :

The Intake Specialist at Prosperous Health San Diego serves as clients' first point of contact and ensures

a seamless and welcoming intake process. Reporting to the Office Manager, this role is responsible for

gathering client information, verifying eligibility, and coordinating initial appointments. The Intake

Specialist plays a crucial role in creating a positive first impression and facilitating access to care.

Detailed Duty Statement :

Greet clients and visitors warmly, providing a welcoming and professional environment.

Conduct initial client screenings to gather demographic, insurance, and eligibility information.

Schedule initial appointments and coordinate with clinical and administrative staff to ensure a

smooth intake process.

Verify insurance coverage and assist clients with completing necessary documentation.

Maintain accurate and confidential client records in compliance with organizational policies and

regulatory standards.

Answer phone calls, respond to inquiries, and provide information about available services.

Collaborate with the Office Manager to ensure efficient workflow and address client concerns.

Monitor and manage the intake schedule to optimize client flow and staff availability.

Provide support during client transitions, including referrals to other services or programs as

needed.

Assist with administrative tasks, such as filing, data entry, and maintaining office supplies.

Stay informed about organizational policies, services, and community resources to provide

accurate information to clients.

And other duties as assigned.

Qualifications Needed :

A high school diploma or equivalent is required; an Associates or Bachelors degree in a related

field is preferred.

A minimum of 1-2 years of experience in a customer service, administrative, or healthcare

setting.

Strong organizational and time management skills, with the ability to multitask effectively.

Excellent communication and interpersonal skills with a customer-focused approach.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with electronic health

records (EHR) systems.

Ability to maintain confidentiality and handle sensitive information with discretion.

Strong attention to detail and accuracy in data entry and record-keeping.
