The Document Control Specialist II is responsible for coordinating, tracking, distributing, and managing project documentation throughout the project lifecycle. This position plays a key role in ensuring all project documents are accurate, current, and properly stored in accordance with company and contractual requirements. The ideal candidate has hands-on experience with Procore, Oracle Unifier, and document management within the Heavy Civil Construction industry.
Major Duties & Responsibilities
- Coordinates with project teams, engineers, subcontractors, and clients to ensure document edits, approvals, and submissions are completed accurately and within required deadlines.
- Implements and maintains standardized document control procedures to ensure consistent management and traceability of all project documentation.
- Utilizes Procore and Oracle Unifier for uploading, tracking, and managing project documents, submittals, RFIs, and drawing logs.
- Maintains and updates the document tracking and production systems for all forms of documentation (drawings, specifications, submittals, contracts, etc.).
- Ensure proper version control, document numbering, and archiving of obsolete or superseded records.
- Reproduces and distributes controlled copies of project drawings, specifications, and related materials to internal and external stakeholders as required.
- Ensures all completed documents are reviewed and approved by authorized personnel before release or distribution.
- Manage electronic filing systems and maintain the document control database for easy access and traceability.
- Train and support project team members on document control procedures and software usage.
- Identify opportunities to improve document control processes and implement best practices.
- Provides coverage for other Document Controllers
Skills & Qualifications
Education : High school diploma or equivalent required; Associate degree preferred.Experience : Minimum 3–5 years of document control experience in the heavy civil construction industry.Software Proficiency :Procore (required)Oracle Unifier (required)Microsoft Office Suite (Word, Excel, Outlook)Excellent written and verbal communication skills.Strong organizational skills with the ability to manage multiple priorities and deadlines.Detail-oriented with a high level of accuracy in document review and recordkeeping.Ability to work collaboratively in a fast-paced, team-oriented environment.Preferred Qualifications
