Job description

We are looking for a dedicated and organized Customer Service Representative to join a fast-paced healthcare team in San Diego. This is a critical onsite role focused on managing provider schedules across multiple facilities, ensuring efficiency, and delivering exceptional patient communication. The ideal candidate thrives in a collaborative, supportive team environment.

Location : 100% Onsite at 5893 Copley Dr. San Diego, CA 92111

Schedule : Monday – Friday, 8 : 00 AM – 5 : 00 PM PST

Top Daily Responsibilities

This position is key to maintaining seamless operations for two hospital locations and one external facility . Your primary duties will include :

  • Schedule Appointments : Expertly manage and coordinate appointments to ensure provider schedules are kept full at all times.
  • Contact Members : Handle high volumes of incoming and outbound calls to schedule, confirm, and prepare members for appointments.
  • Clean the Waitlist : Proactively manage and maintain the appointment waitlist to optimize scheduling efficiency.
  • Administrative Support : Prepare and send confirmation emails, generate preparation letters for patients, and route clinical messages to the nursing team.

Required Qualifications & Skills

We encourage applicants with strong customer service backgrounds from any industry (including retail or recent college graduates with prior work experience) who are ready to transition into a demanding administrative healthcare setting.

  • Experience : 1–2 years of experience in an office setting or similar customer service role. (Must have prior professional experience answering phones).
  • Systems Knowledge (Required) : Demonstrated experience with EPIC / Health Connect or similar Electronic Health Record (EHR) systems.
  • Essential Skills :
  • Patience & Kindness : Ability to maintain a positive, empathetic demeanor during patient interactions.
  • Organizational Skills : Excellent attention to detail for managing complex schedules and documentation.
  • Communication : Strong telephone etiquette and clear communication skills.
  • Environment : Proven ability to succeed in a fast-paced environment where duties are performed simultaneously (e.g., preparing a letter for one patient while on the phone with another).
