Office Assistant I - Permits / Inspections
Essential Duties & Responsibilities : Issuing permits and business / occupational permits and licenses. Accepting and routing building plans to required City of Pasadena group(s). Filing of permits and business / occupational permits and licenses to include the maintenance of such systems. Accepting and assigning requests for inspections. Preparing and coordinating certain assigned reports. Answering multiple phone lines. Other general clerical or administrative duties as may be assigned by supervision. Data entry, typing, distribution of mail, simple coding and / or verification, operating a photocopy machine, processing documents according to pre-established guidelines, responding to routine telephone responsibilities requests with have standard answers, referring calls and visitors to appropriate staff, ordering supplies, printing, or other services. Attendance and punctuality is an essential function of this position. Must be able to obtain and maintain, without interruption, all necessary licenses, certifications, clearances, and / or job requirements. Works the assigned schedule and complies with the City's timekeeping and attendance policy.
Qualifications : A minimum of 2 years related clerical or secretarial experience or combination of experience and college education. A minimum of a high school education or GED. Competent with word processing (document creation and formatting, storing files, etc.) and able open, save and enter data into spreadsheet, competent in the use of email, including sending and opening attachments and etc. PREFERRED : A bilingual (English / Spanish) candidate with prior Permit or construction office background
