Position Summary

The Pre-Processor plays a critical role in setting each file up for success. This position ensures that all title orders are opened accurately, documentation is complete, and files are prepared for the processing and closing teams. The ideal candidate is detail-oriented, highly organized, and thrives in a fast-paced, multi-state title environment.

Key Responsibilities

• File Opening & Data Entry
• Open new title orders in Qualia and verify all order details for accuracy.
• Review and input data from purchase agreements, lender instructions, and agent questionnaires.
• Ensure all parties (buyer, seller, agents, lenders) are correctly entered with full contact details.
• Document Collection & Verification
• Request and track entity documents, purchase agreements, EMD receipts, and HOA information.
• Upload all documents into Qualia with proper labeling and indexing.
• Verify property information, tax data, and legal descriptions against the order.
• Communication & Coordination
• Send introductory emails and welcome letters to all parties.
• Communicate with real estate agents, lenders, and clients to obtain missing information.
• Coordinate with processors to ensure the file is ready for title search and examination.
• Compliance & Quality Control
• Ensure that all files meet company quality and compliance standards before being released to processing.
• Maintain accuracy in data entry to support efficient turn times and reduce rework.
• Identify and escalate incomplete or incorrect information proactively.
• Internal Collaboration
• Work closely with the Processing , Lien Clearance , and Closing teams to ensure seamless file handoffs.
• Update Qualia task statuses in real time for team visibility and tracking.
• Support internal reporting by maintaining accurate file notes and completion checklists.
