Clearance Requirements : This position requires an active TOP SECRET security clearance, with the ability to obtain "Sensitive Compartmented Information" within DARPA. Must be a U.S. citizen.

Overview

We are recruiting for a Project and Travel Coordinator to work as a member of the DARPA Information Technology Directorate (ITD) Software-Defined Wide Area Network (SD-WAN) Tech Refresh project management team. The Logistician will oversee purchasing, transportation, inventory, warehousing, and disbursement of material in support of technology installation teams. A successful candidate will be responsive, have excellent communication skills (verbal, written, and listening), be a team player, promote consensus, embrace learning, and be a consummate problem solver. He / she will thrive in a dynamic, fast-paced environment, have a positive can-do attitude, and be confident in analyzing processes and sharing suggestions for improvement.

Responsibilities

  • Supporting Project Manager and Senior Technology Specialist / Team Lead with all travel and project management planning, implementations, and reporting activities
  • Compiling requests, obtain travel orders and approvals, and review compiled trip reports, travel expense reports, and travel requirements
  • Supporting Project Manager and Senior Technology Specialist in developing full scale project plan and ensures the project is delivered on-time, within scope and budget. Ensures the accuracy, timeliness, and completion of all tasks assigned under this project
  • Tracking travel deployment requirements and pre-deployment processing coordination
  • Utilizing internal Nakupuna travel systems to process travel for contractor personnel
  • Having a strong working knowledge of the Joint Travel Regulations (JTR)
  • Verifying travel orders to ensure costs, availability, and convenience of different types of carriers to select most advantageous route and carrier
  • Notifying personnel of travel dates, baggage, limits and medical and visa requirements; ensure all requirements are complete prior to travel
  • Assisting personnel in completing travel forms and other business transactions pertaining to travel.
  • Assisting personnel in completing vouchers upon return of travel
  • Coordinating with a variety of DARPA sites and stakeholders to coordinate site visits and associated travel requirements
  • Working directly with DARPA Security to ensure security requirements are submitted and confirmed prior to travel
  • Maintaining traveler preferences and always ensure JTR compliance
  • Assisting in making recommendations to DARPA on any improvements that could be made to improve internal processes

Qualifications

Strong interpersonal skills, adept with strategic planning and management, self-starter, exceptional written and oral communication, strong analytical, critical thinking and problem-solving skills, proficient at multi-tasking, and effective organizational skills. Adept at operating in a fast-paced, ambiguous, and often multi-directional work environments.

Education and Experience : This position requires a bachelor's degree from an accredited institution as well as a minimum of 5 years of professional experience. The ideal candidate will have an advanced degree or comparative years of professional experience in project management, or a similar field.

The following are desired :

  • Expert proficiency and in-depth experience using Microsoft Project.
  • Proficient with Microsoft Office Applications; primarily Word, Excel, Visio, and PowerPoint.
  • Understanding of Project Management principles associated with Network Engineering, Information Technology and Agile Project Management.
  • Travel Requirements : Travel for this position is minimal, however the ability and willingness to travel to Government Installations as required is preferred. The place of performance can consist of 347 sites across 39 CONUS states plus one OCONUS state (Hawaii).

    Work Location : Work is performed in a hybrid support manner at the Nakupuna Offices in Arlington VA, client site at in Arlington VA and Oakton, VA. Core work hours are 8 : 00 AM to 4 : 30 PM, arriving no earlier than 6 : 30 AM and departing no later than 6 : 30 PM Monday thru Friday except Federal holidays or when the Government facility is closed.
