Position : Executive Coordinator
Location : Superintendents' Office
Start Date : TBD
Reports to : Superintendent
Compensation : Refer to the current Specialist Salary Scale - Associate C1
Work Year : 12 months
Position Goal
Responsible for supporting the Superintendents' Office, Board of Education, Communications Department, Choice Program, and Centralized Registration. Exercise independent judgment, discretion, and initiative in carrying out daily responsibilities. Maintain regular communication with all internal and external stakeholders to ensure consistency and alignment in district operations. Serve as a key point of contact, responding promptly and appropriately to inquiries and concerns related to incidents and events occurring within the district.
Minimum Requirements
- Associates Degree or higher.
- Five (5) years of Executive / Administrator support work experience.
- Previous experience in a school environment is preferred.
- Strong oral and written communication skills.
- Experience with Public Speaking, Community Relations, and Crisis Management Response preferred.
- Proficient to Intermediate in Microsoft Office (Word, Excel, PowerPoint, and Outlook), Google Applications, and Student Information Systems.
- Acceptable Criminal Background Report and no entries on Child Abuse Registry.
Essential Duties And Responsibilities
Responds to requests (telephone, email, visitors to the building) for information / assistance, exercising independent judgment and tact.Communicates effectively with a variety of vendors, agencies, partners and members of the community.Serves as a public relations point of contact for the community and maintains relationships with all media sources and reporters.Assists with facilitating information during a crisis by communicating with police and first responder PIOs.Provides support for the Board of Education and serves as a liaison between the Board and District Administration.Updates and maintains District Policy Manual.Maintains budgets for Superintendent's Office, Communications Department, and Choice including ordering supplies and coordinating travel reimbursements as needed.Maintains the district calendar and tracking student hours.Assists with drafting, editing or composing correspondence and / or public statements for the Superintendent's Office.Coordinates special projects and activities for the District.Maintains Notary certification.Maintains historical records and prepares files for archiving.Disseminates information in a professional and timely manner.Determines priorities, coordinates workload to meet schedules / deadlines – both short and long range.Develops methods, forms, and procedures for most effective performance of own duties and of office operation.Serve as the FOIA Officer for the district.Physical Demands
