    Utah Valley University is seeking a detail-oriented and highly organized Administrative Assistant to join the Utah Fire and Rescue Academy (UFRA) Certification team. This role plays a vital part in supporting Utah's firefighters by coordinating administrative processes that ensure training, certification, and assessment programs run smoothly. Working closely with the Certification Program Manager, the Administrative Assistant helps maintain testing schedules, manage certification records, and uphold State and National standards as well as Utah State Certification Council policies. This position offers the opportunity to make a meaningful impact on firefighter readiness and public safety while contributing to a dynamic and mission-driven team environment.

    Due to the sensitive nature of testing materials and exam security, applicants must not be currently certified at or in the process of obtaining certification through the Utah Fire Service Certification System.

    Summary of Responsibilities

  • Develops and implements test strategies, planning their execution, and determining the resources required. Distributes assessment materials, regularly reviewing and updating them to ensure they reflect the most recent standards and requirements.
  • Examines test results, reporting and recording findings. Tracks certification, maintaining processes, and updating files, records, certificates, and / or other documents.
  • Performs various administrative tasks and other duties as assigned in support of the Utah Fire and Rescue Academy's Mission, Vision, and Values.
  • Qualifications / Licenses / Certifications

    Graduation from an accredited institution with an associate's degree and one year of experience OR any combination of education and experience related to the summary of duties totaling three years.

    Due to the sensitive nature of testing materials and exam security, applicants must not be currently certified at or in the process of obtaining certification through the Utah Fire Service Certification System.

    Knowledge / Skills / Abilities

    Knowledge

  • Knowledge of state fire certification methods
  • Knowledge of state and national Fire & Rescue policies, procedures, and standards
  • Skills

  • Skilled in attention to detail and organization
  • Skilled in maintaining accuracy, and identifying discrepancies / inconsistencies
  • Skilled in identifying opportunities for improvement and implementing practical solutions
  • Skilled in quickly learning new skills or adapting to changes in technology and / or procedures
  • Skilled in the use of various software, programs, and databases such as Microsoft Office Suite
  • Skilled in managing time efficiently
  • Abilities

  • Ability to perform a variety of administrative support duties with minimal supervision
  • Ability to follow verbal and written procedures, practices, and instructions, asking questions when clarity is needed
  • Ability to explain verbal and written procedures, practices, and instructions, answering questions when clarity is needed
  • Ability to gather data, compile information, and maintain accuracy of records and information
