About the Role
The Administrative Coordinator will serve as a primary assistant to the Executive Vice President of Administration performs a wide variety of duties and responsibilities that are, and can be, complex, sensitive, and confidential administrative support functions. This position's description can be altered or changed anytime at the discretion of the EVP Of Administration.
What You’ll Be Doing
- Serve as primary assistant to Corporate leaders, representing the corporate team in interactions with internal and external parties;
- Support the EVP of Admin. with accounting, finance, and operations, along with administrators / executives with their respective positions, projects and functions as directed by the EVP of Admin;
- Perform a wide variety of administrative duties to support the work of the executive departments and organization including but not limited to helping in the preparation of office budgets and monitoring budget expenditures, reviewing and preparing requests for payment, drafting special requests
- Schedule meetings or conference calls for the corporate leaders, reviews and conducting research and assembling and summarizing information from a variety of sources for special projects and reports on behalf of the organization;
- Serve as liaison with internal and external parties directed by the EVP of Admin
- Provide direction to other administrative support staff with respect to financial; activities and overall corporate & compliance matters; and performs related duties as deemed necessary;
- Review, proofread and edit all reports and agenda items for corporate leaders including email material;
- Maintain files for organization materials; provides information to members at the direction of the EVP of Admin;
- Analyze complex, sensitive problems and situations, evaluate alternatives and make sound appropriate recommendations for the organization;
- Organize, research and maintain office filing systems and document management databases
What You Bring to the Role
Must be in agreement with and committed to upholding R.O.Y Organization’s Motto Statement, and Statement of Values, as well as its stated Mission and Vision;Must have strong, effective written and spoken communication skills along with excellent research and organizational skills;Must be located in the United States of America, preferably in the Chicagoland area.Must have evidence of and a commitment to practice a high level of confidentiality;Must have strong experience in planning, organizing and carrying out the daily activities and administrative functions of a COS office in a sensitive, highly visible and dynamic and organizational environment, requiring management of multiple and rapidly changing priorities;Can have a bachelor’s degree in Org. Leadership and / or 1-2 years’ experience in a relevant field;Must have strong office administrative and management practices and procedures;Must be proficient in Microsoft Office with the ability to learn new software and computer systems as well as advanced use of PowerPoint, spreadsheet, graphics and other business management softwareMust be flexible and be able to work in a high change, quick paced environment.Should have basic nonprofit finance and accounting, general operations, ordinances, rules, policies and procedures, or willing to learnMust be a team player and be willing to receive and act on the direction, and motivated to take on responsibility to completionMust be able to relate on a cross cultural level as well as display good personal and interpersonal skills in the officeShould be self-motivatedShould be available for occasional travelEngaging / responsive, and proactive communicationProficient in Google Suite and open to learning new tools.Adaptable, collaborative, and self-motivatedEstablish and maintain highly professional effective working relationships with senior management, and other appointed officials, including staff, community and business leaders, donors, board members, and others encountered in the course of workUse a high degree of tact, discretion and diplomacy in dealing with sensitive situations and concerned groups and / or individualsMust be in agreement with and committed to upholding R.O.Y Organization’s Motto Statement, and Statement of Values, as well as its stated Mission and Vision;What We Offer as a Nonprofit Organization
