SUMMARY : The Clerk I position is responsible for supporting the Development Services staff while also providing friendly customer service to the public and other departments. As the first point of contact for the department, this is a customer service role that engages with citizens daily to answer general development questions, direct calls to staff as needed, intake development or permit applications, maintain accurate records, perform data entry, and provide other critical clerical support functions.
ESSENTIAL JOB FUNCTIONS :
- Provide excellent customer service in person or on the phone, assisting them with general development services or road and bridge information or directing them to the appropriate staff, department, or outside agency.
- Process development, plat, or permit applications and fees and forward for staff review.
- Perform data entry including information for 3400+ septic systems annually.
- Maintain good communication, both verbal and written, with customers, citizens, staff, and elected officials.
- Assist staff in compiling reports or conducting basic research.
- Prepare correspondence and documents such as code violation letters, septic system renewal letters, Justice of the Peace Court filings, and complaint forms.
- Provide essential clerical support such as preparing typing, faxing, filing, collecting mail, and making copies.
- Maintain accurate records and filing system.
- Assist with coordination of meetings with external department, agencies, or citizens.
- Perform other duties as assigned.
SUPERVISORY / BUDGET RESPONSIBILITIES :
This position has no supervisory or budget responsibility.
KNOWLEDGE, SKILLS, AND ABILITIES :
Basic knowledge of County policies and procedures.Knowledge of Microsoft Office applications including Excel, Word and Outlook and ability to learn department-specific software.Skill to operate other standard office equipment, including laptop, copy machine, etc.Ability to assess and prioritize multiple tasks, projects and demands.Skill to be self-disciplined and self-motivated to work alone and with others.Ability to establish and maintain effective working relationships and provide excellent customer service to other County employees and the general public.Bilingual preferred.MINIMUM QUALIFICATIONS :
High school diploma or equivalent experience.Prefer at least 6 months of customer service experience.WORKING CONDITIONS :
Position is located in an office environment with little or no exposure to environmental conditions. Health and safety hazards are minimal. No protective equipment is required. Fine dexterity, sitting, and vision are constantly required. Frequently, talking, reaching and handling are required. Occasionally, standing, lifting, carrying, climbing, bending and walking are required.
CONDITIONS OF EMPLOYMENT :
Must successfully complete a pre-employment drug screen.Must successfully complete a background investigation.
