POSITION OVERVIEW
Balboa Bay Resort and Club is seeking a Member Sales & Events Manager to join our resort and club team. This role focuses on building strong relationships with new and existing Balboa Bay Club members while managing the sales, planning, and execution of private member events, including both social and corporate gatherings.
The Member Sales & Events Manager will handle event sales, coordinate guestroom reservations, assist with on-property activities, support marketing initiatives, and conduct site inspections. This person will also collaborate with the Member Relations team to help plan and deliver internal club events.
We're looking for someone who is professional, personable, and detail oriented, someone who thrives in a luxury environment and enjoys creating memorable experiences. Prior experience in hospitality, club or event management within a luxury setting is preferred.
Key Responsibiities
- Lead all aspects of catering sales for assigned market, including prospecting, marketing and securing new business while maintaining strong relationships with repeat clients.
- Conduct site inspections, client meetings, and detailed event planning sessions to ensure each event reflects the client's vision and the resort's service standards.
- Develop creative proposals and personalized event packages tailored to client needs.
- Negotiate contracts, establish pricing parameters, and confirm arrangements in writing.
- Oversee flawless execution of events, ensuring all procedures are followed and banquet event orders are accurately detailed.
- Collaborate closely with the Executive Chef to design imaginative, customized menus that align with client visions.
- Achieve and exceed monthly, quarterly, and annual sales goals.
- Maintain accurate records of accounts, client communications, and event details in the appropriate systems.
- Stay engaged in the industry through active participation in outside organizations, as well as by attending tradeshows and networking events.
- Monitor market trends and competitor activity to identify opportunities for growth.
- Deliver exceptional event experiences through a blend of operational precision, creativity, and personalized service.
- Maintain a high level of professionalism and expertise in all communications, reinforcing trust and confidence among stakeholders.
- Identify opportunities to increase revenue through effective cross-selling and up-selling strategies that enhance the guest experience.
- Reporting to work as scheduled on time and on regular basis is an essential function of the job.
Other Responsibilities / Supportive Functions :
Performs essential functions of other Member Relations staff as needed.Notifies upper management of any problems resulting from member complaints, intoxication, disruptive behavior, unsafe conditions, needed maintenance of any equipment and any accidents.Resolves member complaints within scope of authority; otherwise refers the matter to management.Notifies supervisor and / or Security of all unusual events, circumstances, missing items, or alleged theft.Qualifications
Required Qualifications :
High School diploma or general education degree (GED), or equivalent combination of education and experience.Minimum of 2 years of catering sales or event services experience in a club, hotel, or private venue.Knowledge of food and beverage products, proper preparation and presentation of food and beverage items.Knowledge of meeting room setups and procedures.Excellent customer service skills.Interpersonal skills to effectively communicate with all business contacts.Professional appearance and demeanor.Due to the cyclical nature of the hospitality industry, Team Members may be required to work varying schedules to reflect the business needs. Work schedules will include working on holidays, weekends and alternate shifts.Proficient knowledge of computers, Microsoft Excel, Word and Outlook.Ability to learn computer systems used at the Resort.Ability to effectively communicate in English, in both oral and written forms.Must maintain a clean and appearance and professional demeanor.Preferred Qualifications :
Bachelor's degree in Hospitality Management.Previous experience working in a similar setting.Proficient in Delphi FDC, Opera, Social Tables.Knowledge of current Audio / Visual equipment and setups.
