Reporting to the HR Operations Director, the HRIS Manager ensures operational excellence through HCM system management, adherence to regulatory and college requirements, accurate reporting, and the creation of effective processes that support college employees and the HR department. As an integral member of the HR Operations team, the HRIS Manager maintains and advances the HRIS, drives operational efficiency, streamlines business processes to eliminate redundancies, and provides complex technical support for all HRIS and HR-related ERP systems, including daily management of the Workday Human Capital Management (HCM) system. This involves the configuration and maintenance of enterprise applications, managing tenant performance and HR security roles, and coordinating system upgrades and new implementations in collaboration with appropriate HR staff and cross-functional partners across the college.

This position serves as a primary HR point of contact for Workday user concerns, providing daily troubleshooting support, creating training resources and job aids using a combined understanding of system capabilities and institutional needs, and delivering training as needed. This position also manages HCM-related reporting, including report writing, data integrity, and coordinating collation and submission of responses, which requires collaboration with partners to ensure accurate and timely submission to external agencies. Additionally, the HRIS Manager provides technology support to the HR department regarding HRIS, ERP, e-filing, and other electronic systems, and assists with compliance related items such as HR website maintenance.

Job Description

Responsibilities and Duties Include :

Serves as a primary point of contact and subject matter expert on Workday HCM, providing frontline support for users, troubleshooting issues, routing more complex problems to functional leads or third-party vendors as needed, and managing business process workflows, enhancements, and modifications.

Provides daily operational and production support for HR systems by identifying and resolving issues, developing efficiencies for recurring issues, and coordinating system upgrades and new implementations with appropriate HR staff and cross-functional partners across the college.

Manages the Workday HCM, including configuration and maintenance of enterprise applications, embedding and updating job aids, tenant management, performance monitoring, and researching HR security roles to understand their functions and ensure appropriate access in HCM.

Works collaboratively with HCM functional leads in all aspects of business process development, system testing, and end user documentation.

Enters and updates business processes annually and as needed, including college calendars and Salary Schedule changes such as salaries, raises and rates of compensation ensuring timeliness and accuracy; develops, maintains, and updates benefit modifications and leave personnel databases.

Monitors the What’s New in Workday report as well as the Workday Weekly Community Digest to identify and implement new features and updates to the tenant.

Supports functional leads in the development of HCM training programs and materials for college personnel by applying a combined understanding of the system capabilities and institutional needs, including written documentation, video recordings, one-on-one sessions, virtual or in-person group trainings; may also deliver training as needed.

Creates reporting mechanisms and standard reports for HR functions to include running queries, analyzing data integrity, and recommending process improvements.

Assists in the planning, development, coordination, and maintenance of benefit system changes and implementation, including development of technical procedures, testing scenarios, and requirements.

Provides backend reporting, auditing, and reconciliations for benefits programs, ensuring data accuracy and timely submissions to vendors and regulatory agencies.

Serves as a liaison with third-party administrators, consortiums, and vendors for operational issues related to reporting, tracking, and deductions for employee benefit plans.

Leads HRIS-related projects, including HCM, ERP, website, e-filing and SharePoint conversions, ensuring alignment with workflows and collaboration with stakeholders across the college.

Develops, documents, and enforces HR operational processes to ensure compliance with college policies, state and federal regulations, and audit standards, while identifying opportunities for process improvements.

Provides frontline technological support for the HR department, including printers, scanners, and other office devices, troubleshooting issues before escalating to IT and / or third-party vendors.

Maintains and monitors the HR website to ensure accurate, current and compliant content, collaborating with Marketing and Communications to implement updates as needed.

May support HR events as a member of the operations team, which includes preparation, setup and breakdown, and participation.

Complies with all published College Rules, procedures, guidelines, and laws / regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.

Strictly honors the privacy, security, and confidentiality of student records and other sensitive information according to appropriate state, federal, and college regulations, policies, and procedures.

Provides service excellence through courteous, informed, accessible, and professional engagement.

Performs other duties as assigned.

Reports to : Director, HR Operations

QUALIFICATIONS

Required : A bachelor’s degree in human resources, business administration, information technology, or a related field with two (2) years of experience in the areas of human resources and / or HR and data systems management. A combination of related education and / or applicable experience equal to six (6) years will be considered.

Additional Requirements : A criminal background check will be conducted.

Preferred : Prior work experience in higher education and / or with Workday.
