Cohen & Cohen is seeking a Filevine Administrator / Data & Analytics Analyst to lead the firm’s case management and business intelligence systems. This individual will own and optimize our Filevine platform while driving analytics, reporting, and dashboard development through our business intelligence environment (Tableau, Microsoft Power BI, or Domo).
This is a hands-on, highly visible individual contributor role that bridges legal operations, intake, marketing, HR, and finance—ensuring the firm operates from a single source of truth and that leadership has real-time access to the data that drives strategic decisions.
Compensation :
$65,000 - $85,000 yearly
Responsibilities :
Filevine Administration & Optimization
- Serve as the system administrator for Filevine, managing user permissions, templates, workflows, automations, and integrations (Lead Docket, Hona, QuickBooks, Paylocity, etc.).
- Maintain system integrity, enforce consistent taxonomy, and ensure compliance with firm standards.
- Build and implement custom workflows, task automations, and triggers to streamline case operations.
- Collaborate with attorneys and staff to translate operational needs into Filevine enhancements and data solutions.
Business Intelligence & Reporting
Lead development and implementation of dashboards and reports across departments using Tableau, Power BI, or Domo.Integrate data from Filevine, QuickBooks, Paylocity, marketing, and other firm systems to create unified performance views.Deliver real-time reporting and executive dashboards highlighting key KPIs such as case velocity, cost per lead, cost per case, conversion rates, and settlement performance.Translate large, complex datasets into clear, actionable insights to drive decision-making and improve operational performance.Cross-Functional Insights & Process Improvement
Partner with department heads to define, track, and visualize firm-wide OKRs and KPIs.Identify data-driven opportunities to improve efficiency, accelerate cycle times, and enhance case throughput.Document system dependencies, integrations, and workflows to ensure scalability and sustainability.Training & Adoption
Develop and deliver Filevine and BI training sessions for attorneys, paralegals, and staff.Create and maintain user guides, SOPs, and documentation for ongoing education and system consistency.Qualifications :
Bachelor’s degree in Business, Information Systems, Finance, or related field.3–5 years of experience in data analytics, legal operations, or SaaS system administration (Filevine experience strongly preferred).Business Intelligence (BI) certification required or equivalent mastery experience (Tableau, Power BI, or Domo).Advanced proficiency in Excel (pivot tables, modeling, automation, macros, etc).Experience integrating data across multiple systems (Filevine, QuickBooks, Paylocity, CRM / marketing tools, etc).Strong understanding of database structures, data governance, and visualization best practices.Familiarity with automation tools and APIs (e.g., Zapier, Filevine API, or ETL frameworks) preferred.Key Competencies
