We're looking for an Assistant Property Manager to assist in directing and coordinating activities at an on-site property management office for an office and parking portfolio in Charlotte; assist in effectively implementing procedures, cost controls and policies; maintain good tenant and client / owner relations; and assist the management team in maintaining records and efficiently running the day-to-day operations of the asset.
Responsibilities :
- Answer management phones and assist with Tenant needs.
- Maintain inventory of office supplies and property staff directory.
- Receive, distribute and review all Tenant service requests, track service requests in Workspace, and alert personnel of any problems or unresolved service requests.
- Maintain current records for Tenant certificates of insurance and required maintenance agreements.
- Responsible for completing regular property inspections at the direction of the Property Manager and issuing property related service requests, tracking, and assigning the service requests to invoices as they are processed for payment.
- Maintain vendor files; proposals, contract preparation, certificates of insurance, contact information.
- Monitor outside vendors for compliance with service agreements and certificate of insurance requirements.
- Ability to travel daily to assigned properties as necessary.
- Assist with preparing and administering service agreements.
- Maintain record keeping and filing systems; classify, sort and file correspondence for tenant files and other documents.
- Assist in the coordination of special events held on properties.
- Process and track invoice payments and Tenant billbacks. Invoices are process through AVID and NEXUS.
- Assist the parking team and Property Manager with parking operations.
- Assist Property Manager in preparing and delivering timely, accurate, and complete monthly reports and budget packages according to client requirements.
- Assist with developing and sending tenant communications.
- Review aging reports and manage collections efforts.
- Perform other duties as assigned.
Desired Competency, Experience and Skills :
Must have a minimum high school education. Associates, B.A. or B.S. college degree preferred.Minimum of 2 years previous customer service experience. Commercial property management experience preferred.Experience with MRI, Workspace and Yardi software preferred.Previous experience in real estate accounting and familiarity with monthly accounting cycle, including an understanding of A / P, A / R, commercial leases preferred.Possess professional demeanor and excellent interpersonal skills.Have access to reliable transportation and maintain a valid driver's license.Computer literate and proficient on MS Word, Excel, PowerPoint.A high level of energy, drive, and initiative in the pursuit of job goals.Strong organizational skills; ability to self-start and multi-task.Advanced oral and written communications.Strong work ethic and positive attitude.Works well in a team focused atmosphere.Strong attention to detail.This position is 100% in-office . The role requires working in office during standard business hours. Remote work or telecommuting is not an option for this position.
