This position provides medical administrative support to VISN 23 facilities and is an integral member of the clinic team to effectively carry out day to day administrative operations of the clinics. The Medical Support Assistant (MSA) is responsible for accurate appointment management and the coordination of all administrative information between the professional staff, patient, patient caregiver and / or representative.

Major Duties :
- The incumbent will work collaboratively in an interdisciplinary coordinated care delivery model and perform receptionist duties, customer service and other duties assigned for the proper and timely treatment of patients and maintains appointment schedules for one or more outpatient clinics.
- He / she must assist with clinic access contingency plans by adjusting appointment times, location, or dates as well as shift patients to other healthcare providers as conflict with staffing and / or coverage occurs.
- Incumbent must screen / receive phone calls in a courteous and timely manner, determine the nature of requests and provide the information desired using privacy rules and established clinic processes.
- The MSA is able to independently manage position responsibilities with little supervision as well as set priorities and deadlines adjusting the flow and sequencing of the work to meet team and patient needs.
- Interpret and communicate requirements of VHA Scheduling Directives and policies, such as scheduling appointments, VistA Scheduling Enhancement (VSE), Consult Tracking Manager (CTM), Consult Toolbox (CTB), Virtual Care Manager (VCM), Patient Check In (VSE / PCI), VEText, Audiocare, Telehealth Management Platform (TMP), Scheduling Manager, Insurance Capture Buffer (ICB), and Secure Messaging with the assistance of a more senior MSA or Supervisor.
- Monitors appointment requests from multiple electronic sources
- Gathers and obtains medical information from patients
- Advises clinical staff on current administrative processes
- Schedules, cancels, reschedules patient appointments and / or consults
- Daily review of active / pending consults, EWL, Recall list and Audiocare communications for accuracy and disposition.
- Coordinates administrative services for veterans, family members, caregivers, and general public, administrative and clinical staff to insure continuity of inpatient and outpatient care.
Work Schedule : Monday - Friday; 8 : 00am-4 : 30pm
