Position Summary
Working independently and under the general direction of the Lead Systems Analyst and the Associate Director of Operations, the Systems Analyst will be a member of a team responsible for ensuring day-to-day technical systems in the Financial Aid Office function properly, efficiently, and in compliance with applicable rules and regulations.
Key Responsibilities
- Assist with functional and technical responsibilities involved in system implementation, integration with other systems, upgrades, and maintenance.
- Test business technology systems when new maintenance packs are delivered.
- Review and analyze financial aid processes, policies, and software for proper functioning, accuracy, and consistency; revise processes, configuration, and setup as needed; determine documentation needs and follow up for information; suggest changes to policy, processes, and software.
- Assist with system setup, testing, conversion, development of processes, provide user documentation and training to unit and university staff.
- Develop, maintain, and coordinate detailed project plans for the CMS Financial Aid Module.
- Identify alternative strategies and represent Cal Poly Humboldt in CSU-wide meetings related to CMS, PeopleSoft, and COD.
- Work with functional leads and technical staff and assign project tasks as appropriate.
- Assist with monthly reconciliation of Direct Loan and Work-Study programs between COD, Financial Aid Accounting, and Financial Aid, resolving discrepancies and maintaining reports for auditors.
- Assist with upgrades for student information systems and new software programs such as StudentForms workflow and NextGen Scholarship Manager.
- Coordinate with campus partners, especially Student Financial Services, to align interconnected processes.
Ad Hoc Query and Report Support
Develop and run ad hoc queries and reports using PeopleSoft Query Manager or other SQL tools.Develop controls to ensure data integrity and proper system functioning.Respond to and troubleshoot problems encountered by staff; propose solutions and workarounds for Campus Solutions and the FA module.Work with a team of systems analysts on daily imports / exports of electronic Financial Aid records and reconcile rejects or discrepancies.Implement new policies, procedures, and business practices to support process improvement and business needs.Research issues in PeopleBooks, HEUG resources, and Oracle product support; ensure inbound / outbound data integrations are functioning correctly.Support with External Systems
Process external award loading from Sponsored Programs, Cal Poly Humboldt Foundation, Next Gen Scholarship Manager, Athletics, etc.Collaborate with various university departments and the broader Oracle SA community to stay current on issues and solutions.Knowledge, Skills, and Abilities
General knowledge of business systems analysis, technology applications, and project management; strong organizational and time management skills.Effective communication and interpersonal skills; ability to gather information, explain technical issues, and produce documentation.Ability to troubleshoot system issues; maintain confidentiality and handle sensitive data; work independently and as part of a team; build relationships with diverse stakeholders.Analytical skills to evaluate problems, performance, and changes in scope; ability to work with complex data sets and create complex reports; proficiency with applicable software and data privacy regulations.Ability to provide lead work direction and training; effective communication with a diverse population.Qualifications
Minimum : Equivalent to a bachelor's degree in a related field and two years of relevant experience; substitution options available for education / experience as described in the original posting.Preferred : Experience in Financial Aid or Admissions in higher education; knowledge of financial aid eligibility, federal regulations, and related systems; familiarity with COD, NSLDS, WebGrants, FAA Access; experience with PeopleSoft Query.Application Procedure
