LEGAL ASSISTANT

Job Summary
Reporting to the Legal Paraprofessionals Manager, this role will be responsible for supporting various attorneys with all administrative aspects of their business needs.
Essential Duties / Responsibilities
- Drafts and proofreads contracts, deeds, leases, and other documents related to real estate transactions.
- Reviews title commitments, surveys, zoning reports, and other third-party documents.
- Supports entity formation and preparation of certificates, resolutions, and consents.
- Coordinates with title companies, surveyors, clients, lenders, and opposing counsel throughout transactions.
- Prepares signature packages, assemble closing binders, and manage post-closing documentation.
- Assists with closing process, including preparing closing documents, coordinating with title companies, preparing closing checklists, preparing closing binders, and attending closings as needed.
- E-files both via NJ E-Courts and PACER. Experience in New York State Courts Electronic Filing (NYSCEF) preferred but not required.
- Drafts and proofreads correspondence, discovery, minutes, pleadings, contracts, motions, and varied other documents.
- Manages the court dockets, deadlines, and matter dates.
- Supports deposition, hearing, motion, and trial preparation.
- Redacts, bate stamps, and organizes documents for production.
- Updates contact information for attorneys.
- Initiates opening of new files and closing of complete ones per attorney direction in compliance with firm policies and procedures.
- Provides administrative support of general office duties such as printing, scanning, copying.
- Arranges couriers, court reporters, expert witnesses, and other special functions.
- Assists with proper case screening and origination process to include initial conflict check in collaboration with the Records Department, creates and maintains reliable and accurate filing system for electronic documents.
- Closes concluded matters per attorney direction.
- Inputs attorney time into time keeping software as requested.
- Maintains attorney calendars by planning and scheduling meetings, appointments, and both onsite and remote conferences.
- Prepares check requests and submits purchase orders as needed.
- Prepares expense reports.
- Performs other duties as assigned.
Education and Required Skills
Associate degree or equivalent experience.Minimum 3-4 years law firm experience.Ability to function well in a high-paced environment.Ability to maintain confidential and sensitive information and to exercise discretion and good judgement.Effective time management skills and excellent organizational skills.Excellent verbal and written communication skills.Proficient understanding of legal terminology and principles, research methods, and court processes.Strong analytical and problem-solving skills.Strong attention to detail particularly in proofreading.Strong technology skills and proficiency in Microsoft Office Suite.Certifications
Notary preferred.Work Hours :
In-office work at the Red Bank, NJ location. Hybrid or remote work are not options for this position.Full-time, non-exempt, Monday to Friday 9 : 00 a.m. – 5 : 00 p.m. (one-hour unpaid lunch).Overtime may be required from time to time.Compensation range $60,000 - $65,000 (dependent upon relevant experience).Scarinci Hollenbeck is an Equal Opportunity Employer.
