StoneTurn is seeking an Executive Assistant to join our operations team!
The Executive Assistant is responsible for setting the highest standard possible for a work environment that is creative, dynamic, and visually appealing for our owners, staff and clients.
This role is responsible for providing administrative and operational support to the Executives of the local office. In addition, you will provide general and administrative support to the local office staff members as it relates to a variety of matters at the firm.
You will interact with clients and come in contact with sensitive information, so you must use considerable tact, diplomacy, discretion and judgment in these matters and keep sensitive information confidential.
You are required to have advanced administrative and analytical skills and knowledge of select software programs.
Primary Responsibilities :
Office Administration
- Own reception duties for the office, including, managing the daily security logs of all visitors to the firm, greeting clients, potential clients, vendors and other guests with the utmost in professionalism; answering phones.
- Ensure that the overall physical office and equipment are organized, maintained, and operational to ensure that we project a professional appearance for staff and visitors.
- Contact related vendors in a timely fashion for maintenance and service issues and review vendor invoices for accuracy.
- Monitor, order, and neatly file away supplies and equipment for the office as necessary to ensure adequate inventory.
- Manage incoming and outgoing correspondence and shipping, including hand deliveries to U.S. Post Office or courier if required.
Executive Support
- Provide administrative support for assigned Executives, including travel, meetings, timekeeping, expense reporting, technology requests, and other project-related tasks.
- Proactively adjust Executive travel and meeting schedules and keep professionals aware of significant changes on a timely and accurate basis.
Staff and Engagement Support
- Schedule office meetings, manage conference room reservations, prepare agendas, minutes and materials, and arrange for IT support and catering when required.
- Perform administrative tasks related to business continuity, the engagement close process and document record management, privacy policies, special projects and recurring firm-wide responsibilities.
- Assist engagement team on client matters, including report preparation (drafting memos, grammar, document sourcing, footnotes, quality checks, etc.
requests for proposals, binder preparation, court docket research and analysis, and documentation requests and other tasks as needed.
Operations Support
- Assist Marketing with event preparation and branded product inventory management.
- Facilitate onboarding of new hires and offboarding of exiting employees.
- Generate Conflict Check reports in Salesforce, in addition to making updates to other CRM data.
- Act as a super user for StoneTurn systems for members of your office.
Job Requirements :
- Associate’s degree or equivalent.
- Strong technical skills : Microsoft Office (Excel, Word, Outlook, PowerPoint) and the ability to learn other systems as necessary.
Excellent Excel and Word skills are a must.
- Minimum of 1-3 years of experience, preferably in a professional services environment.
- Excellent organizational skills, attention to detail and ability to multi-task.
- Strong interpersonal and communication skills.
- Prior experience with Thomson 3e, Chrome River, or similar time & expense software is preferred.
- Prior experience with Salesforce CRM software is preferred.
- Must be able to handle and protect confidential information.
- Ability to work independently, demonstrate initiative, work under pressure, and manage multiple deadlines.
- Hybrid environment, in-office Tuesday-Thursday, occasional flexibility as needed.
