Position Summary :
The Marketing & Events Associate supports the Director of Communications & Marketing in implementing communications, content, and event initiatives that promote Lotusland’s mission and programs.This position is ideal for an early-career professional with strong organizational skills, creativity, and enthusiasm for plants and public gardens. In addition to supporting communications, this position serves as the primary point of contact for event venue inquiries , ensuring exceptional client service, accurate scheduling, and effective coordination with internal teams to deliver seamless events that reflect the beauty and integrity of Lotusland. Key Responsibilities :
Marketing & Communications Support Support the implementation of annual communications and marketing plans to support Lotusland’s media relations and marketing. Assist in gathering user data from web statistics, social media, surveys, e-newsletter reports. Coordinate media campaigns, including maintaining press lists, newsletter index, composing and distributing press releases, event advisories, and calendar listings. Assist with copywriting and copyediting for newsletters, e-blasts, social media, the website, and impact reports.Provide proofreading and editing support for the Garden’s triannual Lotusland Newsletter , including verification of names and details. Create, schedule, and manage content across social media platforms using content management tools (e.g., Loomly). Update website content using the Content Management System (CMS), WordPress. Build and send e-blasts using email marketing platforms like Mailchimp or similar. Coordinate with departments to schedule meetings and maintain accurate calendars and ensure timely submission of materials. Support the marketing of Lotusland’s membership events, public programs, and fundraising events. Track deadlines, send reminders, and follow up to keep communications projects on schedule. Field press inquiries and assist in preparing media responses.Monitor and respond to incoming comments and queries on social media and the website. Support impact reporting, metrics gathering, and project documentation. Assist with photo archiving, file organization, and maintaining the Garden’s digital and press asset library. Venue Rentals & Promotions Respond promptly and professionally to rental inquiries, providing accurate information on availability, pricing, policies, and venue guidelines. Triage the rental inquiry process from initial contact through contract execution and event completion. Enter all inquiries and bookings in Tripleseat. Schedule site visits and conduct tours for potential clients, ensuring an engaging and informative experience that reflects Lotusland’s mission and standards. Prepare rental agreements and maintain detailed records of rental activity. Confirm payment is timely.Provide on-site event support as needed, including vendor coordination, setup oversight, and guest service. (less priority, as time permits) Track rental income, maintain organized documentation, and assist in preparing reports for management. Content Creation & Brand Cohesion Capture photos and short-form video content to document events, programs, and the Garden; perform light editing as needed. Support professional photographers and videographers during shoots. Prepare digital assets for use across communication channels. Ensure all content aligns with Lotusland’s brand identity and communication standards, maintaining authenticity and accuracy. Events & Site Visits Provide on-site support for photoshoots, press visits, and private tours. Represent Lotusland in a professional and welcoming manner, engaging courteously with members, donors, volunteers, and guests. Qualifications & Experience :
Minimum of 2 years of relevant experience in marketing, communications, events, or a related field. Strong written and verbal communication skills, with the ability to assist in copywriting, client correspondence, and copyediting. Experience with event coordination, client communications, or venue rental management preferred. Organized and reliable, with the ability to manage multiple priorities and meet deadlines. Proficient in social media management tools, website CMS platforms (WordPress or similar), and email marketing systems (Mailchimp or similar). Skilled photographer with knowledge of photo and video editing. Familiarity with photo archiving and digital asset organization. Collaborative, people-oriented, and comfortable engaging with clients and the public. Enthusiasm for plants, public gardens, and environmental stewardship. Secondary Education in communications, marketing, hospitality, public relations, or a related field preferred but not required. Work Environment : Lotusland’s administrative offices are on a historic 2-story estate in a 37-acre garden. Frequent sitting and standing, walking, bending, and climbing stairs with occasional lifting of light loads (25 lbs.) Requires working outside at times and the ability to comfortably move around the garden. Frequent work on the telephone and computer (repetitive movement – typing) Frequent standing, sitting, walking, climbing stairs and bending with occasional lifting of light to moderate loads (25 lbs.) Occasional driving of company electric golf carts.
