What You’ll Do
The Alfred Firm is seeking to hire an Intake Specialist with a minimum of 3 years experience in a sales-driven or client acquisition environment. You will be responsible for qualifying leads, building rapport and converting leads into signed clients. You must be familiar with intake procedures, client onboarding and legal documentation (e.g., POA’s, HIPAA forms, medical records requests). Ideal candidates would possess strong verbal and written communication skills with a professional and empathetic phone presence as well as be highly organized with exceptional attention to detail and follow up.
We are looking for individuals with experience working in a law firm, legal services or personal injury environment and are proficient in CRM systems (HubSpot preferred), Google Suite and cloud-based file management software. Must be self-motivated, have a positive attitude and resilience when handling high call volumes or emotionally sensitive situations.
Responsibilities include
Qualify and Convert Leads : Respond to inbound intake calls, make outbound calls to prospective leads generated through form fills, assess prospective clients, and complete the intake assessment form to determine case eligibility and convert qualified leads into signed clients.Lead Follow-Up : Maintain consistent communication with potential clients through phone calls, emails, and text messages to ensure timely follow-up on pending intakes and maximize conversion opportunities.CRM Management (HubSpot) : Accurately maintain and update HubSpot records by assigning contacts to the correct deals, merging duplicate entries, and consolidating all relevant information (email, phone number, notes) into a single, complete contact profile.File Setup & Organization : Upon receipt of a signed Power of Attorney (POA), download and save the document, create the client’s Slack channel for internal communication, and establish corresponding folders within the firm’s database for document storage and collaboration.Initial Documentation Collection : Request and obtain essential case documentation including photographs, preliminary medical records, and HIPAA authorizations to support case initiation.Statute of Limitations Tracking : Accurately identify and calendar the applicable statute of limitations (SOL) for each new client to ensure timely legal action and case preservation.Reporting & Performance Updates : Provide regular reports to the firm leadership detailing lead activity, conversion metrics, and overall intake performance trends.The responsibilities described are not a comprehensive list and the scope of the position may change as necessitated by business demands; Additional duties may be assigned.
