Flexible Remote Option :

This position will offer the opportunity to work remotely based on business need and manager discretion. This flexible remote option allows the manager to determine the schedule and frequency of remote work on a weekly basis. The expectation of this approach requires mandatory in-office attendance for participation in collaborative meetings.

Your Impact :

The Executive Administrative Assistant provides a range of administrative support primarily to the Chief Information & Technology Officer, while also providing assistance to the Deputy Executive Officer and Chief Benefits Officer as needed. This position requires effective multitasking, discretion, and the ability to work independently with minimal supervision.

Essential Duties :

  • Administrative management of the Chief Information & Technology Officer, Deputy Executive Officer and Chief Benefits Officer.
  • Coordinate travel and prepare / track travel expenses; assists in periodic travel audits.
  • Organize and manage the Chief Information & Technology Officer's schedule, calendar, and activities including communication with internal and external parties.
  • Monitor and track budget items and coordinate all payments with purchasing and accounting department.
  • Coordinate meetings and preparing minutes as directed.
  • Establish and coordinate reporting from external service providers.
  • Assist in completion of industry surveys and daily compliance reports.
  • Ensure approved transfers are executed in a timely and accurate manner.
  • Assist in the onboarding of new hires; liaise with IT department on technology issues.
  • Maintain conventional and electronic filing systems.
  • Prepare / edit presentations as directed.
  • Assist the Executive Assistants to the Executive and other Directors.
  • Perform other duties as required and assigned.

  • Ability to multi-task with efficiency and see processes through from beginning to end.
  • High-energy self-starter with exceptional integrity and organizational skills.
  • Ability to prioritize effectively.
  • Advanced computer knowledge and skills.
  • Experience and Qualifications :

  • 3 years of experience in business administration or related area; required. Accredited college training may substitute for required experience.
  • Advanced proficiency in MS Office, Microsoft Word, Excel and Power Point; required.
