About the Opportunity
A newly established construction and development firm in Houston, and an esteemed client, is seeking an Executive Assistant to join as the third foundational team member. This is a rare opportunity to be part of an early-stage venture working alongside local government entities on transformative projects.
This role is ideal for a high-performing professional who thrives in fast-paced, high-stakes environments, and who wants to play a pivotal role in building the systems, structure, and rhythm of a business from the ground up.
Key Responsibilities
- Serve as the right hand to the founders- anticipating needs, handling administrative and operational tasks, and keeping the “machine” running smoothly.
- Track and manage inventory, equipment, and materials; identify reorder trends and prepare restocking schedules weekly.
- Support business operations such as payroll coordination, billing / accounts payable and receivable, document preparation, vendor communication, and basic HR tasks.
- Maintain meticulous records, notes, and logs for meetings, purchase orders, and site activities.
- Assist with social media content and digital updates to support the company’s brand presence.
- Coordinate meetings, events, and travel—ensuring seamless logistics.
- Support compliance, documentation, and communication related to government partnerships.
- Handle confidential information with discretion and professionalism.
- Provide insight and proactive solutions to operational challenges, ensuring consistent follow-through and accountability.
Qualifications
Bilingual (English & Spanish) – required.Strong problem-solving and analytical skills; resourceful and capable of finding solutions independently.Excellent time management, organization, and multitasking abilities.Strong command of Microsoft Office Suite, particularly Excel.Experience with payroll coordination, inventory management, or city / county project administration is highly preferred.Experience in construction, business development, or sales is a plus.Familiarity with social media management and HR support tasks.Exceptional written and verbal communication skills.Ability to work irregular or extended hours based on business needsHigh emotional intelligence, discretion, and resilience under stress.No degree required; equivalent work experience and results-driven mindset valued.Personal Attributes
