Purpose of Position :

This position supports the management of transportation safety initiatives and provides guidance to regional, area, and local transportation operations. It assists in fostering a culture of safety across the organization by helping to coordinate safety strategies and processes. Key responsibilities include supporting the Manager in overseeing systems and activities that ensure regulatory compliance; assisting in the coordination and delivery of training related to crash management; participating in audits and inspections of transportation safety practices; and monitoring performance metrics and indicators to assess safety outcomes. This role plays a critical part in promoting continuous improvement and operational excellence within the Transportation organization.

Accountabilities :

  • Backs up Safety Compliance Manager in their absence.
  • Assists in maintaining DOT Driver Qualification files
  • Assists with onboarding program for all Drivers
  • DOT Random Drug & Alcohol Test Program
  • Actively participates in the DOT Inspections & Audits
  • Temporary Driver (subcontractor) – Driver Qualification Compliance files
  • Assists in managing the part time driver program
  • ELD log auditing and driver compliance to logs
  • Recordkeeping of all DOT Accidents
  • Collection / Recovery of funds for not at fault accident
  • Back up Manager with Accident investigations
  • Auditing of each driver's log for accuracy and completion per DOT regulations
  • Hours of service and speed monitoring
  • Falsification check done by comparison to supporting documents
  • Weekly reports detailing all compliance violations
  • Disciplinary Action Programs for drivers with major log violations, which have proven to be a proactive tool in correcting habitual compliance violators
  • Responsible for the completeness and correctness of all DOT Logs and Post Trip reports as it refers to the FMCSR, as well as the upkeep and maintenance of the DQ file, which is to be kept for 6 months due to audit purposes.
  • Assist drivers with daily inspections, identifying areas in need of attention prior to driver leaving facility at the end of their route.
  • Maintain records of new driver orientation to include HOS (Hours of Service) training
  • Conduct phone training sessions for drivers, new hires and those that are repeat offenders for inaccurate log keeping
  • Assists with DOT Compliance in the facilitation of onboarding DOT new hires.
  • Assists in compiling data in DOT Compliance for external audits by regulatory agencies
  • Daily processing, handling, and data entry of documents, files, forms, and requests
  • Maintains and utilizes best industry practices to record HOS (Hours of Service).

Minimum Skills Required :

  • High School or GED
  • Organized, efficient, good with details and multi-tasking
  • Knowledge of Microsoft Office Skills (i.e. Word, Excel and Outlook)
  • Exceptional communication and interpersonal skills.
  • Good Knowledge of Microsoft Office Skills (i.e. Word, Excel, PowerPoint and Outlook, etc.).
  • Preferred :

  • Bachelor's Degree in related field from an accredited institution, and / or equivalent work experience.
  • Knowledge of Federal DOT Regulations.
  • Experience in the transportation industry, at least 1- 2 years prior experience with DOT and OSHA regulations.
  • Experience with driver recruiting strategies.
