Purpose of Position
The University Registrar for Northern Kentucky University provides leadership and oversight of daily office operations of the office of the Registrar, ensuring efficiency, compliance, and outstanding customer service.
This role manages critical processes, including degree audits, course and classroom scheduling, registration, grading, graduation processing, transcript management, veteran benefits processing, and residency determination. The Registrar plays a key role in enrollment management, overseeing certification of enrollment, major declarations, and demographic updates while ensuring accuracy and efficiency in student recordkeeping. This position also leads efforts to enhance technology systems, optimize workflows, and improve service delivery.
As a key advisor to university leadership, the Registrar analyzes enrollment trends, supports institutional reporting, and provides insights for academic planning and student success initiatives. The role also represents the university on committees, collaborates with faculty and administrative departments, and contributes to broader student retention and progression strategies.
Primary Responsibilities
Student Records Management & System Administration
- Leads the management and ongoing enhancement of the University's integrated Student Life-Cycle Management ( SLCM ) system, ensuring accuracy, security, and efficiency in student records, and assisting with institution-wide transitions to new student systems.
- Oversees core registrar functions, including transcript management, course registration processes (drop / add), residency determination, veteran benefit processing, enrollment certification, and major declarations, while ensuring accurate, timely, and confidential service.
- Drives innovation in digital student services and records management, collaborating with campus partners to improve reporting, automation, data security, and student support systems, while establishing best practices for data integrity, audits, and record retention.
- Acts as a key problem-solver and liaison, resolving complex student records issues in coordination with faculty, advisors, and student services staff - ensuring consistent, student-centered support across all academic and administrative units.
Leadership, Training, & Strategic Initiatives
Provides strategic leadership for the Office of the Registrar, including staff training, mentorship, and professional development to ensure excellence in service delivery and compliance with evolving regulations.Provides senior leadership for an office of ten (10) staff members.Collaborates with academic leadership and student affairs to implement strategies for student success, retention, and graduation.Office Operations & Budget Management
Ensures operational efficiency through budget management, staffing, and strategic planning aligned with institutional priorities.Student Records Reporting & Compliance
Oversees the production of critical student records reports, including enrollment reports, academic standing tracking, Faculty class lists & grading rosters, Grade distribution reports for academic departments and Institutional Research.Calendar & Scheduling Oversight
Develops and maintains the University Academic Calendar for internal and campus-wide distribution.Oversees the production of Registration and Schedule Production calendars to ensure timely academic planning.Policy Compliance
Serves as the university's official custodian of records, developing policies, managing access to student information, ensuring compliance with FERPA and institutional regulationsDevelops, enforces, and ensures compliance with academic policies related to enrollment, grading, graduation, and student records.Provides FERPA training and updates on regulatory changes to faculty and staff.Qualifications
Bachelor's degree and 8-10 years of increasing responsibility as a professional or administrator in a Registrar's office or closely related area.Management experience and / or systems implementation / analysis skills from a user perspective; Associate or Assistant Registrar experience in a previous college or university.In-depth knowledge of FERPA , federal and state regulations, and institutional policies governing student records, enrollment, and academic policies.Experience with SIS platforms (e.g., Workday, SAP - SLCM ) and the ability to optimize technology for efficient records management, reporting, and data security.Proven ability to lead teams, manage office operations, develop strategic initiatives, and drive process improvements to enhance student services.Ability to interpret and utilize enrollment, retention, and academic performance data to support decision-making, compliance, and institutional planning.Strong analytical and decision-making skills to address complex student records issues and work collaboratively with faculty, staff, and students.Excellent interpersonal, written, and verbal communication skills to engage with diverse stakeholders, including students, faculty, administration, and external agencies.Attention to detail & organizational skills, - ability to manage multiple priorities, ensure accuracy in student records, and maintain compliance with deadlines and institutional requirements.Please attach a resume, cover letter, references and a brief statement (up to 1 page) describing your perspective on the Registrar's role in supporting student success at NKU .
