Encore Village of Schaumburg is currently hiring for a Business Office Manager (BOM) that oversees all business and administrative operations for the Assisted Living (AL), Independent Living (IL), and Supportive Living (SLF) community. This role ensures accurate billing, effective accounts receivable management, excellent customer service to residents and families, and compliance with state and organizational requirements. The BOM works closely with the Finance Team, Admissions / Marketing, and external payers to support the financial and operational success of the community.
Key Responsibilities
- Prepare and process monthly resident billing for AL, IL, and SLF programs.
- Manage private pay, Medicaid, LTC insurance and third-party payer billing.
- Monitor and maintain Accounts Receivable aging; follow up on delinquent accounts.
- Process resident deposits, community fees, refunds, and ancillary charges accurately.
- Ensure all billing aligns with payer rules, resident agreements, and regulatory requirements.
- Complete, track, and submit Medicaid applications for SLF including but not limited to redeterminations and income changes.
- Maintain SLF compliance documentation, rate updates, and eligibility tracking
- Collecting documentation and maintenance of eligibility for the internal financial assistance program
- Communicate with caseworkers, managed care plans, and state agencies as needed.
- Serve as the primary point of contact for billing inquiries, statements, and financial questions.
- Provide clear explanations of charges, payment options, and payer processes
- Support residents and families during admissions, renewals, and financial transitions.
- Maintain accurate daily census in applicable systems (PCC)
- Coordinate move-ins, move-outs, level-of-care changes, and payer updates with Admissions and Nursing.
- Verify accuracy of room / board and service charges based on resident agreements.
- Maintain resident financial files, payer documents, and compliance records.
- Assist with audits, reporting, and month-end close requirements.
- Participate in leadership meetings and provide updates on billing, AR, and Medicaid caseload.
- Work closely with finance, admissions, and clinical teams to ensure accuracy in census and billing.
- Ensure compliance with organizational policies and state / federal regulations.

Qualifications / Required
