JOB SUMMARY :
The Accounting & HR Assistant provides part-time support to Human Resources and part-time support to accounting. This person will handle the daily administrative and HR duties of an organization, and as an Accounting Assistant you will support the finance team with day-to-day accounting tasks and assist in maintaining accurate financial records for the organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
PAYROLL
- May assist with payroll functions including processing, answering employee questions, fixing processing errors, and distributing checks.
- Create and manage paper timesheets for staff.
- Audit payroll timesheets
- Print paystubs as requested by the management team.
PERSONNEL
Ensure current job descriptions are on file for all employees; work with the management team to help draft new job descriptions for new positions.Maintaining proper records of employee attendance and leave to assist with payroll duties.Serving as a point of contact, providing smooth communication with employees and timely resolution to their queries.Assists in organizational training and development efforts, including but not limited to coordinating location and all items necessary for sessions.Monitors and restocks office supplies and materials for the HR department.ONBOARDING
Assist with new employee onboarding. Help coordinate date and time of orientation, reserve conference room and make sure all new hires are notified of time, place and items needed for orientation.Coordinating orientation and training sessions for new employees.Maintain digital and electronic records of employees.RECRUITMENT
Assist with the recruiting efforts for the assigned line of business, including resume screening, scheduling of interviews, and generation of offer letters.Submitting online job postings, shortlisting candidates and scheduling job interviews.Provide accounting with invoices from recruitment platforms.BENEFITS
Assist with Benefits Administration, primarily related to open enrollment, oversee the completion of benefit documentation.Assists with organizational training and development efforts; help coordinate employee training with appropriate vendors.Assist with preparation of HR data for All Staff Meetings.Run reports as necessary for department projects.SAFETY
Assist in maintaining safety guidelines, procedures, and policies.Proactively identify opportunities for improvement in all areas of safety.ADMIN
Performs various routine clerical duties, utilizing standard office equipment, to include screening incoming calls; taking and transmitting messages; maintaining calendars; scheduling meetings; keyboarding information into databases; making photocopies; performing data entry; faxing documents; typing; and word processing.Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, birthday celebrations, holiday parties, and retirement celebrations.Provide clerical and administrative support during special projects with other departments.Maintain calendars of the HR management team.Performs other duties as assigned.DATA ENTRY AND RECORD KEEPING :
Assist with entering financial transactions into accounting software.Maintain accurate and up-to-date records of all receipts, invoices, and payments.Help with the preparation and processing of monthly bank reconciliations.ACCOUNTS PAYABLE :
Support the Accounts Payable process, ensuring timely payment of invoices and managing relationships with vendors.Assist in monitoring accounts receivable, including tracking outstanding payments and sending reminders to donors, clients, or partners.FINANCIAL REPORTING SUPPORT :
Prepare and assist with month-end and year-end financial reports for internal review and audits.Support the creation of reports for senior leadership, Board members, and donors as needed.GENERAL ADMINISTRATIVE SUPPORT :
Provide general office support to the accounting team, including filing, data organization, and document management.Assist in responding to accounting inquiries from staff, vendors, and donors.SKILLS, EXPERIENCE, AND EDUCATIONAL REQUIREMENTS :
Education & Experience :
Prior experience in a Human Resources Assistant role, preferably in a non-profit or similar environment.High school diploma or equivalent requiredMinimum of 1-3 years of administrative experience, preferably in an HR environment, or a combination of education and experience. Associates degree in related field or equivalent combination of experience.Working knowledge of all various employment laws are desirablePrevious experience should include a minimum of one year working in a customer service-oriented environment.Work requires excellent professional written and verbal communication and interpersonal skills.Proficiency in Word, Excel, PowerPoint, and E-mail.High level of confidentiality required.Skills & Abilities :

This position requires sitting at a desk or workstation, walking, standing, climbing stairs, hearing, speaking, being able to lift up to 25 lb., and being able to drive to the bank and do other errands pertaining to organizational operations.
A background check is required. In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required employment eligibility verification document form upon hire. This is a full-time, exempt position with occasional work responsibilities on weekends and / or evenings depending on the season calendar.
