Position Summary

The Dental Front Office Coordinator is the first and last point of contact for our patients. This role is responsible for delivering a seamless, friendly, and efficient patient experience from check-in to check-out, while also supporting scheduling, billing, insurance coordination, and administrative systems.

  • Dental office experience preferred
  • Key Responsibilities

  • Greet and check in patients with warmth and professionalism
  • Answer phones, manage voicemails, and route calls appropriately
  • Schedule appointments and manage provider calendars using Dentrix Ascend
  • Collect patient payments and provide accurate financial estimates; Fee-for-Service practice offering exceptional personalized care with advanced technology & materials.
  • Verify insurance benefits and communicate clearly about out-of-network policies
  • Maintain accurate digital records and ensure all forms are up-to-date
  • Follow up on unscheduled treatment, cancellations, and recare
  • Support patient communication workflows : reminders, confirmations, follow-ups
  • Participate in daily huddles and team meetings
  • Cross-train and support other front office roles as needed
  • Qualifications

  • Minimum 2 years of front office experience in a dental practice required
  • Proficiency in Dentrix Ascend preferred
  • Strong verbal and written communication skills
  • Detail-oriented with excellent organizational skills
  • Professional, friendly, and calm under pressure
  • Knowledge of dental insurance, billing, and collections is a plus
  • Performance Expectations

  • Phones answered within 3 rings using the office scripting standards
  • Schedule maintained to 95%+ productivity with minimal last-minute cancellations
  • 100% accuracy in patient check-in / check-out process
  • Financial arrangements and estimates presented clearly and documented
  • Positive contribution to practice initiatives and focus
