Description

This is an onsite position in the Morrisville, NC office. The Facilities Workplace Coordinator is an on-site position that reports into Corporate Services & Facilities Management. This role is responsible for front desk administration and provides support for day-to-day office activities. This role follows site and corporate standard operating procedures to provide a safe and secure workplace for all.

Responsibilities

  • Front desk coverage — welcome, screen and register visitors and guests; notify employees via phone, MS Teams or email that visitors have arrived; escort visitors as needed.
  • Follow proper SOP-driven actions and notification in the event of FDA inspections, audits, DEA, client, local or government agency visits.
  • Administrator for Badges and Visitor Log system (assist with badges for cGMP and non-cGMP access).
  • Create service work orders / tickets and coordinate with Corporate Services and Facilities for necessary services.
  • Administrator for conference room system; assist with meeting coordination, maintain meeting and conference rooms, coordinate with local IT support to ensure AV equipment is operational.
  • Maintain breakrooms and office supplies, snacks, and beverages; ensure inventory levels and timely reorders.
  • Accept incoming food orders for employees and meetings as needed.
  • Receive and distribute incoming mail and packages as required; open and scan mail in accordance with corporate mail handling policy to the appropriate receiver or department.
  • Provide general admin support and other duties as assigned.

Skills & Qualifications

  • Office skills with proficiency in Microsoft Office.
  • Strong organizational skills and attention to detail.
  • Customer service experience (internal and external).
  • Knowledge of meeting and event planning.
  • Ability to move between activities and duties quickly.
  • Ability to follow detailed process steps and work instructions.
  • Flexible team player who is adaptable to change and open to new ideas.
  • Onsite position. May involve some physical tasks (e.g., moving supplies, handling packages).
  • Ability to work on a computer for extended periods; occasionally required to stoop, kneel, climb, and lift up to 30 pounds.
