Job Description
We are looking for a skilled and detail-oriented Project Management Administrative Assistant to join a dynamic commercial construction firm in Franklin, Tennessee. This contract position offers a part-time schedule of approximately 30 hours per week, with the opportunity to transition into a long-term role. The ideal candidate will play a pivotal role in supporting project management operations and ensuring administrative tasks are handled efficiently and accurately.
Responsibilities:
• Input and maintain accurate data across multiple systems and sources.
• Process and organize purchase orders and associated documentation for project management purposes.
• Create, update, and manage large spreadsheets in Microsoft Excel for tracking and reporting.
• Utilize Sage 100 Contractor software to execute administrative tasks and assist project management workflows.
• Provide comprehensive support to the project management team, ensuring operational efficiency.
• Ensure all documentation is completed with precision and meets company standards.
• Communicate effectively with team members and external partners to streamline project operations.
• Balance independent work with collaborative tasks in a fast-paced office environment.
• Perform receptionist duties, such as answering calls and directing inquiries.
• Assist in maintaining familiarity with commercial construction processes and related documentation.• At least 2 years of experience in administrative roles, ideally within the construction industry.
• Proficiency with Sage 100 Contractor software is mandatory.
• Advanced knowledge of Microsoft Excel, including working with large data sets.
• Strong organizational skills and exceptional attention to detail.
• Ability to work independently as well as collaboratively in a team setting.
• Understanding of commercial construction processes and documentation is highly preferred.
• Excellent written and verbal communication skills.
• Flexibility to adapt to a small-office environment and varied administrative tasks.
