About the role :

The Production Lead is responsible for overseeing the daily operations and long-term organization of the Records Room. This role processes third-party records and ensures timely fulfillment of client requests while also leading workflow improvements maintaining storage systems and driving overall efficiency for the production team.

This position requires a highly organized professional who takes initiative owns projects from start to finish and is committed to creating and maintaining an orderly compliant and scalable records environment.

• Understand company targets and strive to meet and exceed expectations

• Lead the daily operation of the Records Room ensuring materials are processed organized stored and retrieved efficiently
• Continuously improve the physical organization of the room including shelving labeling indexing and storage systems
• Assign and balance workloads within the processing team to meet company turnaround time goals
• Serve as the primary point of contact for escalations within the production area and ensure timely resolution
• Conduct regular audits of processed records for accuracy and quality
• Lead cleanup initiatives for backlog misfiled materials outdated storage or incomplete / incorrect record sets
• Design and implement organizational projects that improve flow efficiency and compliance
• Monitor progress of room-wide projects and provide updates to management
• Ensure chain-of-custody procedures and confidentiality standards are followed
• Support adherence to retention destruction and storage policies for physical and electronic records
• Train new and current team members on record processing organization standards and technology tools
